How to Create and Manage Bookable Services
Introduction to Services
Services are the bookable offerings your business provides, such as consultations, classes, or appointments. By defining your services in the CRM, you enable customers to schedule them online through your booking page. This system helps you manage availability, assign staff, and organize your offerings efficiently.
Accessing the Services Panel
All service management begins in the Services panel. To get there:
- Click the Calendars tab in the left navigation bar.
- Select Calendar Settings from the top navigation ribbon.
- Choose the Services tab on the Calendar Settings page.
This panel displays a list of all your services, including their names, durations, prices, and assigned staff. You can search, sort, and use the three-dot menu next to each service to edit, duplicate, delete, or share it.
Creating a New Service
To add a new service to your list:
- In the Services panel, click the + New Service button.
- A service editor will open where you can configure the service details.
- Enter a name for the service.
- Set the base duration and price.
- Assign one or more staff members who can provide this service.
- Configure additional settings as needed, such as buffer times or payment options.
- Click Save to add the service to your list.
Organizing Services with Categories
Categories help group related services together, making it easier for customers to find what they need on your booking page.
To create a category:
- In the Services panel, click the + New Category button on the left side.
- Give the category a name and click to create it.
- You can then drag and drop services into the category from the main list.
You can edit a category by clicking the three-dot icon next to its name, and you can rearrange the order of categories by dragging them; this order will be reflected on the public booking page.
Enhancing Services with Variations
Variations allow you to offer different versions of a single service, such as different session lengths or pricing tiers. When creating or editing a service, you can define multiple variations, each with its own duration and price. Customers will see these as options when booking the service.
Adding Optional Extras with Add-ons
Add-ons are optional extras that customers can select to enhance their booking, like additional products or premium features. To manage add-ons for a service:
- Edit the service from the Services panel.
- Click the Add-ons tab in the service editor.
- Here you can create new add-ons or edit existing ones, setting a price, duration, and maximum quantity.
Add-ons appear as checkboxes on the booking page, and their cost is added to the total.
Managing Limited Resources
Resources are physical assets like rooms or equipment that are required for a service. Assigning resources prevents double-booking and helps manage capacity.
To assign resources to a service:
- Edit the service from the Services panel.
- Click the Resources tab in the service editor.
- You can then link existing resources or create new ones, specifying details like location and capacity (e.g., the maximum number of people a room can hold).
Best Practices
- Use clear, descriptive names for your services so customers understand what they are booking.
- Set realistic buffer times between appointments to account for preparation and cleanup.
- Preview your booking page after making changes to ensure the customer experience is smooth.
- Utilize categories to logically group services, especially if you offer a wide variety.
