Understanding and Managing Appointment Buffers
What Are Appointment Buffers?
Appointment buffers are blocks of time you can add before and/or after an event scheduled in your CRM calendar. This feature is useful for activities like preparing for a meeting, traveling to a location, or completing post-appointment tasks. Buffer settings are configured individually for each calendar event type, giving you control over your schedule.
How to Set Buffers
To add buffers to your appointments, follow these steps:
- Select the calendar you wish to modify. If creating a new calendar, proceed to its Advanced Settings. For an existing calendar, click Edit.
- Navigate to the Availability section.
- Locate the Pre buffer time and Post buffer time fields.
- Enter the desired duration for each buffer.
- Save your changes to apply the new buffer settings.
How to Turn Off Buffers
To disable buffers for a calendar:
- Choose the calendar and click Edit.
- Go to the Availability section.
- Find the Pre buffer time and Post buffer time settings.
- Set both values to 0.
- Save your settings. Future appointments on this calendar will no longer include buffer time.
How Buffers Work
Buffers are applied to appointments created within the CRM or through third-party calendars that have the 'Allow Contact Creation' feature enabled. The system respects blocked time slots and events synced from external calendars (like Google or Outlook) when calculating buffer placement, preventing overlaps.
How Buffer Duration Affects Available Time Slots
Buffers directly impact the availability shown to people scheduling with you. For example, a 30-minute appointment with 15-minute buffers before and after will block a total of 60 minutes on your calendar. The next available slot for a new booking would start 30 minutes after the original appointment ends.
Using both a pre-buffer and a post-buffer (sometimes called double buffering) can sometimes make large blocks of time on your calendar unavailable for booking, as the buffer time from consecutive appointments can overlap. To maximize the number of available booking slots, consider using only a single buffer (either before or after an event) for your event types.
It is important to note that an individual's buffer settings on one calendar can affect their availability on other calendars where they are assigned, such as in round-robin or collective calendar events.
Frequently Asked Questions
Do buffers affect events booked outside the CRM?
Buffers are primarily applied to appointments booked directly through the CRM. An exception occurs if two-way calendar sync is enabled and configured to convert external calendar events into CRM appointments; in that case, buffers may be applied.
How do buffers impact available time slots?
Buffers reduce the number of available slots by reserving time before and after an appointment. Double buffering can significantly limit bookable time. Using a single buffer helps maximize availability.
Can I change a buffer for an already-booked appointment?
Yes. Buffer settings are applied based on the current configuration at the time of the booking. Changing the buffer settings for an event type will affect future bookings but does not automatically alter existing appointments; those would need to be manually adjusted.
What happens if users have different buffer settings in a round-robin calendar?
In a round-robin calendar event, differing individual buffer settings can lead to an uneven distribution of appointments among team members.
Can an individual's buffer settings affect a collective calendar?
Yes. In a collective calendar event, one person's buffer settings can block time slots that would otherwise appear free to the group, as the buffer time occupies those slots.
What is double buffering?
Double buffering is the practice of using both a pre-buffer and a post-buffer for an appointment. This reserves time on both sides of the event, which can reduce the total number of appointments that can be booked in a day by making larger blocks of time unavailable.
