You can use your CRM's campaign builder to automate internal follow-ups for your team. By adding Task Event steps, you can assign action items to specific users whenever a contact hits a designated point in a campaign. Furthermore, you can use Task Reminder Triggers to launch additional automations based on what happens to those tasks, such as when they are completed or reassigned.

Creating a Task Event in a Campaign

A Task Event step creates an internal to-do item for your team. This is useful for reminders like making a phone call, sending a follow-up email, or reviewing a contact's file.

To add one:

  1. Edit the campaign where you want to add the task.
  2. Drag and drop a Task Event step from the menu into your campaign sequence.
  3. Configure the task details in the settings panel that appears:
    • Task Name: Enter a clear title for the action item.
    • Assigned To: Select the team member responsible.
    • Due Date: Set when the task is due. You can choose a fixed number of days after the contact enters this step.
    • Priority: Set the task priority (e.g., Low, Medium, High).
    • Notes: Add any specific instructions or context for the assignee.
  4. Save the step. Now, when a contact reaches this point in the campaign, the task will be automatically created and assigned.

Setting Up a Task Reminder Trigger

Task Reminder Triggers allow you to start a new automation (like a campaign or workflow) based on activity related to a task. For example, you can trigger a follow-up email when a task is marked complete, or reassign a lead if a task is overdue.

To create one:

  1. Navigate to the area where you create new automations (Campaigns or Workflows).
  2. When setting up the trigger for the automation, select Task Reminder from the list of available triggers.
  3. Configure the trigger conditions. You can typically set it to fire based on events such as:
    • When a task is created.
    • When a task is completed.
    • When a task's status changes.
    • When a task is assigned to a specific user.
  4. Complete setting up the rest of your automation's actions. This automation will now run automatically based on the task activity you defined.

Using these features together helps ensure that important internal actions are never missed and that your team's workflow is seamlessly connected to your customer communication.
