Using Public Document Links for E-Signatures

Public Document Links provide a fast way to send a standard document for electronic signature without first creating or adding a contact in your CRM. You can generate a unique link for a document template and share it with anyone. When a recipient opens the link, they can provide their information and sign the document directly. This is perfect for quick agreements with people who are not already contacts in your system.

Creating a Public Document

To create a document that can be signed via a public link:

  1. Go to the Documents & Contracts section and select Templates.
  2. Click on New Template and choose the Publish option, or select New and then Create Public Document.
  3. Build your document template as needed and finalize the publishing step.

Once the document is published, a public link is generated. Copy this link and share it with your intended recipients via email, a messaging app, or any other communication method you prefer.

The Signing Process for Recipients

When someone receives the link:

  • They click the link to open the document in their browser.
  • They enter their first name, last name, and email address.
  • They apply their signature to the document.
  • After signing, a finalized copy of the document is automatically sent to the email address they provided.

Managing Signed Documents and Responses

All completed signatures and responses are collected in the Responses section. From there, you can view and download the signed copies of the documents.

Stopping Signature Collection

If you need to stop accepting new signatures for a document, you can unpublish it at any time. This action immediately disables the public link.

Common Use Cases

Public Document Links are especially useful when:

  • You need a quick signature from someone who is not a contact in your CRM.
  • You want to use a standard agreement outside of an automated workflow.
  • You have a template that needs to be signed by multiple people via a single, shareable link.
