Using CC and BCC in the Email Composer
The email composer in your CRM includes CC (Carbon Copy) and BCC (Blind Carbon Copy) fields, giving you more control over who receives your messages and how visible their addresses are to others. This feature is available in the new message composer.
Understanding CC and BCC
CC and BCC are used to send an email to people beyond the primary recipient in the 'To' field.
- CC (Carbon Copy): Use this when you want to keep other people informed. Everyone who receives the email can see the email addresses of all the CC'd recipients.
- BCC (Blind Carbon Copy): Use this for more private communication. Recipients in the BCC field receive the email, but their addresses are hidden from everyone else, including other BCC recipients.
How to Add CC and BCC Recipients
- Open the email composer by clicking New Email or Reply on an existing email thread.
- Look for the CC and BCC fields near the 'To' field. Click on the label to expand the field.
- In the expanded field, you can type an email address or select a contact from the dropdown list of your existing contacts.
- After adding the addresses, you can click the field label again to collapse it. The recipients you added will be saved.
- Send your email as you normally would.
Note on Replying: When replying to an email that has CC or BCC recipients, you can only use the 'Reply All' function. You cannot remove CC or BCC recipients once they are part of an email thread.
Common Use Cases
- Team Updates: Send a project update to your team in the 'To' field and CC a manager to keep them informed.
- Confidential Notifications: Email an employee directly ('To') and BCC the HR department to discreetly keep them in the loop.
- Newsletters: Send a mass email by placing all recipient addresses in the BCC field to protect their privacy.
Frequently Asked Questions
Will a new contact be created if I add an outside email to the CC/BCC fields?
No, adding an email address that is not already a contact in your CRM to the CC or BCC field will not automatically create a new contact.
What happens if I add an existing contact’s email address in the CC/BCC fields?
The email conversation will only appear in the activity timeline of the primary contact (the one in the 'To' field), not in the timeline of the contact who was CC'd or BCC'd.
Is the CC/BCC feature available for all email channels?
Yes, this feature works with all connected email channels, including Gmail, Outlook, SMTP, and other custom email providers.
How can the CC/BCC feature improve my email communications?
It allows you to efficiently include multiple people in a conversation, either openly or privately, ensuring the right people are informed while maintaining confidentiality when needed.
