Using Your Existing WhatsApp Number with the CRM

You can connect your existing phone number to the CRM's WhatsApp messaging system, but there are important rules set by Meta (the company that owns WhatsApp) that determine how this works.

Understanding the Connection Rules

There are two primary ways to manage WhatsApp for business: the WhatsApp Business app on your phone and the WhatsApp Business API, which is what powers the CRM's messaging features. Meta has historically required a phone number to be connected to only one of these platforms at a time.

However, Meta has introduced a feature called Coexistence. When available for your account, Coexistence allows a single phone number to be used simultaneously in both the WhatsApp Business app on your phone and the WhatsApp Business API within the CRM, with conversations syncing between them. If Coexistence is an option for you, you may be able to use your existing number without any of the workarounds described below.

When You Can Use Your Existing Number (Standard Connection)

If Coexistence is not available for your setup, you can still use your existing number by following the standard connection path. This requires the following conditions to be met:

  • The phone number is not currently active on the standard WhatsApp or WhatsApp Business app. If it is, you must be willing to delete your WhatsApp account from the mobile app to free the number for API use.
  • You successfully complete the WhatsApp Business API onboarding process within the CRM.
  • Meta verifies and approves the number under your WhatsApp Business Account (WABA) in your Business Manager.

Once connected via this standard method, all WhatsApp messaging for that number will be sent and received directly inside the CRM.

When You Cannot Use Your Existing Number

You cannot use your existing number in the standard way if:

  • The number is still active and in use on the WhatsApp or WhatsApp Business mobile app.
  • You want to use the same number on your personal phone and in the CRM at the same time, without using the Coexistence feature.

Without Coexistence, Meta's policy enforces that a phone number can only be linked to one platform: either the mobile app or the API, but not both concurrently.

If Coexistence is not an option for you, here are the two most common paths forward:

Option 1: Migrate Your Existing Number

This process moves your number from the mobile app to the CRM.

  1. Delete your WhatsApp or WhatsApp Business account from the app on your phone.
  2. During the CRM's WhatsApp API setup, enter and verify that same phone number.
  3. Once Meta approves it, the number will be fully managed within the CRM.

Important: After connecting via this standard method, you will no longer be able to use this number with the WhatsApp mobile app. All messaging must be done through the CRM.

Option 2: Use a New, Dedicated Number

This is often the simplest approach if you wish to keep your current WhatsApp chats and usage on your phone unchanged.

  1. Acquire a new phone number specifically for business use.
  2. Use this new number to complete the WhatsApp Business API setup in the CRM.
  3. Your original WhatsApp number remains active on your phone for personal or direct communication.

This method allows you to maintain a separation between personal and business messaging without disrupting your existing contacts.
