What are Community Events?

Community Events are a feature that allows you to create, schedule, and manage events directly within your CRM's Community and Client Portal. You can use them for workshops, Q&A sessions, product launches, or meetups. Each event centralizes all the important information, including the title, date, time, description, and location (or a link to an online meeting). Members can register for the event and easily add it to their personal calendars, such as Google Calendar or iCal. You can control the visibility of an event, making it available to all community members or restricting it to specific courses, groups, or private channels.

Creating and Managing Events

For Admins and Group Owners

As an admin or group owner, you can create events by navigating to the Events tab within your group. During setup, you can define whether the event is free or paid, set the date and time, provide a description and location (including a link for online events), and control the audience who can see and register for the event.

For Members

Members can easily discover events within their community. They can register for events with a single click and add them to their personal calendars to receive reminders. Notifications for new and upcoming events appear within the app, including in the Discussions tab.

On Mobile

The mobile experience provides full access to events. Members can find events and their profile section under the MORE menu, with notifications and chat icons accessible at the top of the screen.

Customizing Event Reminder Emails

You can customize the email reminders sent to event attendees to match your brand's voice. To edit the template, go to Sites, then select Client Portal, followed by Memberships, Settings, Email Settings, Communities, and finally Event Reminder Email. From there, you can create a new template or edit the existing one, personalizing the subject line and body content.

Frequently Asked Questions

How do I get notified when someone registers for an event?

The system does not currently send a notification to the event creator or admin when a member registers. Attendees do receive confirmation and reminder notifications. If you need to track registrations, consider using a custom registration form connected to a workflow that can trigger an alert.

How can a member cancel their attendance for an event?

There is no dedicated button for members to cancel their registration. However, on the mobile app, a member can navigate to the Events tab, open the event, and use the three-dot menu to select Delete. This removes the event from their personal calendar view but does not notify the event organizer.

Can I restrict event access to specific groups or members?

Yes. When creating an event, you can limit visibility and registration to members of a specific course, private channel, or based on their membership level, allowing you to target events to a precise audience.

Can I make an event a paid one?

Yes. During event creation, you can set a registration fee, choose the currency, and define if the price is for a single event or a recurring series. Payment processing is integrated into the event setup.
