Configuring Branded Domains for System-Generated Links

When your CRM generates links for features like forms, surveys, calendar bookings, payment pages, and automated triggers, they typically use a default domain. Configuring a branded domain allows you to replace this with your own custom domain, which enhances brand recognition and improves email deliverability by making links appear more trustworthy to recipients.

You can set up branded domains at two different levels:

  • Agency Level: Applies a default branded domain to all sub-accounts under your agency.
  • Sub-Account Level: Allows individual businesses to use their own branded domain, which overrides the agency-level setting.

Benefits of Using Branded Domains

Implementing branded domains for system-generated links offers several advantages:

  • Improved Deliverability: Custom domains are less likely to be flagged as spam by email filters.
  • Stronger Brand Identity: Recipients see your brand name in the link URL, reinforcing trust and recognition.
  • Professional Appearance: Consistent branding across all communication channels creates a more polished customer experience.

Setting Up an Agency-Level Branded Domain

Configuring a branded domain at the agency level ensures all sub-accounts automatically use your chosen domain for system-generated links.

Step 1: Access Agency Domain Settings

Navigate to Agency View, then go to Agency Settings → Company → Whitelabel → Domains.

Step 2: Add Your Domain

Click the "Add Domain" button to launch the domain connection wizard. This tool will guide you through the process of creating the necessary DNS records with your domain registrar.

Step 3: Configure DNS Records

If you prefer manual configuration instead of using the wizard, you'll need to create a CNAME record in your domain registrar's DNS settings:

  • Name: Enter your chosen subdomain (e.g., "links")
  • Target: Set this to brand.ludicrous.cloud

Important: After completing these steps, scroll to the bottom of the Agency Settings page and click "Update Company" to save your changes.

Setting Up a Sub-Account Branded Domain

Individual businesses can override the agency-level domain by configuring their own branded domain at the sub-account level.

Step 1: Access Business Profile Settings

From the Sub-Account View, go to Settings → Business Profile.

Step 2: Enter Your Branded Domain

In the Branded Domain field, enter the subdomain you want to use for system-generated links (e.g., links.yourclient.com).

Step 3: Add and Configure the Domain

Click "Add Domain" to launch the domain connection wizard, which will help you create the necessary CNAME record automatically. For manual setup, create a CNAME record with:

  • Name: Your chosen subdomain (e.g., "links")
  • Target: brand.ludicrous.cloud

Important: Remember to click "Update Information" at the bottom of the Business Profile page to save your settings.

Troubleshooting and Best Practices

Updating Existing Domains: If you need to change your branded domain to point to brand.ludicrous.cloud, clear the existing domain field, save your settings, then re-enter the new subdomain and save again.

Domain Selection: It's recommended to use a subdomain (like links.yoursite.com) rather than your root domain to avoid potential conflicts with existing website configurations.

DNS Propagation: Allow up to 48 hours for DNS changes to fully propagate across the internet, though changes often take effect much sooner.

Purpose Limitations: Branded domains are designed specifically for white-labeling system-generated links and are not intended for development purposes or API integrations.

After configuring your branded domain, monitor your system-generated links to ensure they're using the new domain correctly. Regularly verify your DNS settings to maintain consistent branding across all communications.
