Connecting Document Fields to Contact Custom Values
You can now link text and date fields within your documents and contracts directly to custom values stored on a contact's profile or on the document record itself. When the document is signed, the linked fields are automatically updated with the information provided by the signer, syncing data back to your CRM without manual entry.
How to Link a Field
To set up a link between a document field and a custom value, follow these steps in the Documents and Contracts editor:
- Create a new document or open an existing one.
- Drag a text or date field from the editor toolbar onto your document where you need the recipient to provide information.
- Add a recipient to the document.
- Click the link button that appears above the text or date field you placed.
- In the menu that opens, select the custom value you want the field to connect to. You can choose from contact custom values or document custom values. A single field can even be linked to multiple custom values if required.
How Data Updates After Signing
Once the recipient completes and signs the document, the information they entered into any linked field is automatically pushed to the corresponding custom value field in the connected contact or document record. This happens instantly, ensuring your CRM data is always current.
Downloading Filled Field Data
For tracking and analysis, you can export all the data entered into a document's fields. From the main Documents and Contracts dashboard, locate the document you need. You will find an option to download a CSV file containing all the filled field data from that document.
Benefits of Linking Fields
- Automated Data Entry: Eliminates the need to manually copy information from signed documents into contact profiles, saving time and reducing errors.
- Centralized Data Management: Keeps all client information synchronized within the CRM, providing a single source of truth.
- Enhanced Tracking: The CSV download feature offers a simple way to audit, analyze, and report on data collected through your documents.
