Customizing System Email Templates for Your Agency
About Agency System Email Templates
To ensure a consistent brand experience for your clients and their contacts, your agency can customize the templates used for key automated system emails. This allows you to adjust the design and wording of Welcome, Password Reset, and Email Verification emails to align with your agency's branding.
What You Can Customize
- Template Content: Modify the text, layout, and design of the Welcome, Password Reset, and Verification email templates.
- Branding Elements: Upload your agency logo and customize the color of Call-to-Action buttons directly within the template settings.
- Central Management: All system email templates are managed from a central location in your Agency Settings.
How to Customize a System Email Template
Step 1: Access the Template Settings
Navigate to Agency Settings from your main dashboard. Within the Settings section, locate and select System Emails. This page lists all the system email templates available for you to edit.
Step 2: Edit an Existing Template
Find the specific email you wish to change (e.g., Welcome Email). Click the Change Template button next to it. You will then be prompted to:
- Select the Subaccount you want to apply the new template to.
- Choose the folder path where your desired template is stored.
- Select the specific template file and confirm your choice to begin editing it.
Step 3: Adjust Logo and Button Colors
While in the email template editor, click on Settings. In this area, you can upload your agency logo and define the colors for any Call-to-Action buttons. Remember to save your changes after updating these branding elements.
Step 4: Create a New Template (Optional)
If you prefer to build a template from scratch, you can create a new one specifically for system emails. Go to Email Marketing > Templates. Click Create New Template and look for the option related to system email templates. Select the appropriate system email type and use the email builder to design your template with custom text, images, and layout.
Template Validation and Fallback
If the CRM system detects a critical error in your selected custom template that would prevent the email from being sent, it will automatically use the default system template instead. This ensures the email (like a password reset) is always delivered. Your custom template will be used again once you fix the errors within it.
Tip: If branding or dynamic fields don't appear correctly in a sent email, review your custom template for any invalid or unsupported field codes.
Frequently Asked Questions
Can I preview my changes before they go live?
Yes. You can use the preview or test email feature within the email template builder to see how your customized template will look before it's applied.
How do I undo changes to a template?
You can revert changes by returning to the template editor and manually adjusting your edits back to a previous state, or by selecting a different, previously saved version of the template.
Do the logo and color settings work on a completely custom template?
Yes, if you build a new template from scratch for a system email, the logo and button color settings you configure in the template's Settings will still apply, provided you use the standard customization options provided by the builder.
