How to Create, Schedule, and Export Custom Reports
Introduction to Custom Reports
Custom Reports enable you to design, schedule, and share tailored reports with your team or clients. You can build reports from scratch or convert existing dashboards, giving you full control over layout, content, and delivery frequency. This feature is available on all subscription tiers.
Important Timezone Considerations
When building and scheduling reports, be aware of how timezones affect data:
- Report Builder Date Range: Data displayed during editing uses your browser's timezone.
- Email Preview: Scheduled email previews use your sub-account's timezone.
- Third-Party Integrations: Data from sources like Google Ads or Facebook Ads uses the timezone set in those external accounts, not your sub-account timezone.
Step 1: Access the Custom Reports Section
Go to the Reporting area in your CRM and select Custom Reports. Click New Report to begin creating your report.
Step 2: Choose Your Starting Point
You can either start with a blank report or convert an existing dashboard into a report format.
Step 3: Use the Report Builder
If starting from scratch, you'll enter the Report Builder. Rename your report at the top to clearly describe its purpose.
Step 4: Customize the Cover Page
The first page serves as your report's cover. Use the Page Properties menu on the right to customize or remove it. Options include uploading your logo, setting headers, and adjusting background colors.
Step 5: Add Widgets, Sections, and Themes
Click the + icon on the left to add widgets. Upload or customize widgets from the sidebar. Use the Elements menu to insert titles and organize sections for clarity. Switch to the Themes section to apply a predefined theme or create a custom one.
Step 6: Manage Pages
Add new pages by clicking the + icon at the top or bottom of an existing page. View all pages by clicking the Page Icon. Drag and drop pages to reorder them, and rename pages for better organization.
Step 7: Download Your Report as PDF
Once finished, click the Download button at the top to export your report as a PDF. Note: PDF exports exclude images and iframes for security, while email preview links include them. For reliable image rendering, use JPEG or PNG formats.
Step 8: Save, Send, or Schedule
After creating your report, click Save, then choose to send it immediately or schedule it for later delivery.
Step 9: Configure Schedule and Delivery
Set the following when scheduling:
- Frequency: Choose how often to send the report (e.g., daily, weekly).
- Time: Select the specific delivery time.
- Date Range: Define the data period included.
- Widget-Level Date Settings: If enabled, widgets retain their custom date ranges and comparisons in the emailed report.
- Comparison Trends: Toggle Compare With to include trend data.
- Sender Email: Customize the sending address.
- Subject: Add an email subject line.
- Recipients: Enter email addresses for recipients.
- Optional Email Body: Include a custom message if desired.
Saved Values and Email Behavior
Report-level date ranges and saved filter values persist after saving. Widget-level date settings override report-level comparisons. Emailed reports are snapshots of data at the time of sending; later changes to the report do not update already sent emails.
Step 10: Send a Test Email
Before finalizing, send a test email to preview how the report will appear to recipients.
Step 11: Save and Schedule
When satisfied, click Save and Schedule to activate automatic report delivery based on your settings.
Frequently Asked Questions
Can I send reports to people without a CRM account?
Yes. Add any valid email address under Recipients during schedule setup—they will receive the report directly without needing to log in. Use Custom Reports for this, not dashboard share links, which require authentication.
