How to Export a List of Sub-Accounts

Overview

The Sub-Accounts List Export feature allows you to generate a CSV file containing detailed information about your sub-accounts. This report is useful for analysis, client reporting, and internal reviews. The system processes the export in the background and sends the completed file via email, so you do not need to keep your browser window open.

Benefits of Exporting Sub-Accounts

Exporting your sub-account list offers several key advantages:

  • Filtered Data: The exported CSV file will include only the sub-accounts that match the filters you have applied on the main Sub-Accounts list.
  • Comprehensive Data: The file contains a wide array of data points for each account, from basic information to detailed activity metrics.
  • Background Processing: The export runs off-screen, freeing you to work on other tasks while it prepares your file.
  • Team Collaboration: You can choose to have the download link emailed directly to specific teammates.
  • Handles Large Volumes: The feature is designed to efficiently export data for a large number of sub-accounts.

Data Included in the Export

The CSV file includes the following groups of data fields for each sub-account:

  • Identifiers & Basic Info: ID, Name, SaaS Enabled status, and Date Added.
  • User & Contact Data: Counts for Active Users, Contacts, and Appointments Booked.
  • Email Activity: Totals for all emails, inbound emails, and outbound emails.
  • Text Message Activity: Totals for all text messages, inbound texts, and outbound texts.
  • Call Activity: Totals for all calls, inbound calls, outbound calls, and the duration of inbound and outbound calls in hours.
  • Form & Survey Engagement: Counts for Form Submissions, Survey Submissions, and Facebook Lead Form Submissions.
  • Google Business Profile Messages: Totals for all GBP messages, inbound messages, and outbound messages.

How Filters Affect the Export

The data in your exported file will match the filtered view of your Sub-Accounts list. Any active filters, such as those for Subscription Status or Assigned Snapshot, will be applied to the export, ensuring you receive a CSV file with only the relevant sub-accounts.

Steps to Export a Sub-Accounts List

Step 1: Navigate to the Sub-Accounts Section

From your Agency Dashboard, click on Sub-Accounts in the left-hand navigation menu. Apply any desired filters to narrow down the list of accounts you wish to export.

Step 2: Initiate the Export

Click the Export Report button located in the upper-right corner of the screen.

Step 3: Select Recipients

A pop-up window will appear. Use the dropdown menu to select the teammates who should receive the CSV file via email. Once you have selected the recipients, click the blue Export button.

Step 4: Confirmation and Processing

You will see a confirmation message stating, "Your export has started!" You can now close the browser tab or continue working. The file will be generated in the background.

Step 5: Download the File

Once processing is complete, an email will be sent to the selected recipients. Click the blue download button in the email, which will be named Download Sub-Accounts List-YYYY-MM-DD.csv. Please note that the download link is valid for 7 days. If it expires, you will need to run the export again.
