Load Snapshots Into Existing Sub-Accounts
About Loading Snapshots
Loading a snapshot into an existing sub-account is a powerful feature that enables you to import a predefined package of CRM assets, such as workflows, funnels, and email templates, into a client's account that is already in use. This process saves significant time and effort by allowing you to deploy standardized business systems without manually rebuilding them from scratch. Crucially, it adds to or updates the sub-account's existing setup without erasing current client data, provided you manage conflicts appropriately.
Benefits of Using Snapshots
Utilizing snapshots for existing accounts offers several key advantages:
- Efficiency: Dramatically reduce setup time by replicating complex systems across multiple client accounts.
- Consistency: Maintain uniform processes and branding by deploying the same foundational assets to all your clients.
- Control: Select which specific assets to import and decide how to handle any items that already exist in the sub-account.
- Safety: The system identifies potential conflicts before the import, giving you a chance to review and choose how to proceed.
How to Load a Snapshot into an Existing Sub-Account
Step 1: Access the Sub-Account Management
From your main agency dashboard, navigate to the Sub-Accounts section using the left-hand menu. Locate the specific sub-account you wish to update. You can scroll through the list or use the search function. Click the three-dot icon next to the sub-account's name and select Manage Client from the menu that appears.
Step 2: Initiate the Snapshot Load
Inside the sub-account management view, click the blue Actions button located in the top-right corner of the screen. From the dropdown menu, select Load Snapshot.
Note: If the "Load Snapshot" option is not visible, ensure that your user role has the necessary permissions enabled for Snapshots. This can be configured under User > Roles and Permissions from the agency dashboard.
Step 3: Select the Snapshot
A pop-up window titled "Load Snapshot" will appear. Click the dropdown menu labeled Pick a Snapshot and choose the snapshot you want to import. After selecting the desired snapshot, click the blue Proceed button to continue.
Step 4: Choose Assets to Import
You will now see a list of all assets contained within the snapshot. You can select which ones to import by checking the boxes next to them.
- To import everything, click the Select All option.
- To import by category, check the box for a main section (e.g., Workflows, Forms).
- To select individual items within a category, click the + icon to expand the section and then check the specific assets.
Once you have made your selections, click the blue Proceed button.
Note on Webinars: If your snapshot includes webinars, importing them will clone the webinar pages and automatically create the associated webinar sessions. All related webinar data is restored. For LinkedIn Ad Campaigns, they will be imported in a Draft status. If LinkedIn is not connected in the destination account, the campaigns will still be created as drafts, but Lead Gen Forms are not imported.
Step 5: Resolve Conflicts
The system will analyze the selected assets and identify any conflicts with items already present in the sub-account. For each conflict, you must choose an action:
- Override: Replaces the existing item in the sub-account with the version from the snapshot.
- Skip: Keeps the current version in the sub-account and does not import the conflicting snapshot item.
Carefully review all conflicts and make your selections. When finished, click the blue Proceed button.
Step 6: Confirm and Finalize the Import
To prevent accidental data changes, you will be prompted to type the word confirm into a text field. After typing it correctly, click the blue Proceed button to start the import process. A success message will appear, indicating that the snapshot is being loaded. You will receive an email notification once the process is fully complete.
Frequently Asked Questions
Will loading a snapshot delete my current data?
No. Your existing data is only replaced if you explicitly choose the "Override" option for a conflicting asset during the conflict resolution step.
Can I preview the contents of a snapshot before loading it?
There is no direct preview feature. However, the ability to select individual assets during the loading process allows you to see what is included and make informed choices.
What if I accidentally override an asset?
This action cannot be undone. It is critical to review the conflict list carefully before proceeding with the import.
Can I load multiple snapshots into the same sub-account?
Yes, you can load multiple snapshots into a single sub-account. Each import will follow the same steps. Be mindful that if snapshots contain overlapping assets, you will need to resolve conflicts each time to avoid unintended overrides.
