Managing Multiple Sub-Accounts with Bulk Actions
The CRM's Bulk Actions feature allows agency administrators to manage multiple client sub-accounts simultaneously. This tool is designed to save time by letting you perform key actions like enabling SaaS mode or pausing accounts across your entire portfolio in just a few steps. This guide explains how to use these powerful bulk management tools.
How to Enable SaaS Mode for Multiple Sub-Accounts
Enabling SaaS mode in bulk allows you to set up subscription billing for several clients at once.
Step 1: Select the Sub-Accounts
From the Agency section of your CRM, navigate to the Sub-Accounts list. Use the search bar or filters to find the specific accounts you wish to modify. Select the desired accounts by checking their individual boxes, or use the 'Select All' option. Once your accounts are selected, click the 'Bulk Actions' dropdown menu and choose the 'Enable SaaS' option.
Step 2: Choose a Payment Provider
You will be prompted to select a payment provider for handling the subscriptions. If your agency uses Stripe, the account connected in your agency settings will be used automatically, and new customer profiles will be created for each selected sub-account. If you choose 'Other Payment Providers', you must then select which agency sub-account will be used to manage the SaaS billing.
Step 3: Select a Subscription Plan
A subscription plan must be selected to activate SaaS mode. In the selection window, you can review the details of each available plan before making your choice. Click 'Show Full Details' to see information such as rebilling rates, included add-ons, marketplace apps, and custom menu links. After selecting a plan, clients will need to add their payment methods for the subscriptions to become fully active.
How to Pause Multiple Sub-Accounts
Pausing accounts in bulk is useful for temporarily suspending client access, such as for non-payment.
Step 1: Select Sub-Accounts and Initiate the Pause
From the Sub-Accounts list, select the accounts you want to pause using the checkboxes or the 'Select All' option. You can use filters to easily find accounts based on criteria like activity or plan status. Then, click the 'Bulk Actions' menu and select 'Pause Sub-Accounts'.
Step 2: Configure Pause Preferences
You will be presented with options for how to handle the paused accounts:
- Pause active subscriptions: This will stop any further billing for the accounts.
- Keep charging the clients: This pauses the clients' access to their CRM but continues to bill them.
- Phone Numbers & A2P Campaigns: You can choose to disconnect and delete phone numbers and associated messaging campaigns to avoid incurring ongoing charges.
Note: If you do not disconnect the phone accounts, you may continue to be billed for their usage.
How to View Your Bulk Action History
You can review the results of all your recent bulk operations.
Step 1: Open the History Page
Within the Sub-Accounts section, navigate to the Bulk Action History screen. This page displays a list of all recent bulk jobs, showing the type of action, the date it was performed, which user initiated it, and its current status.
Step 2: Review Job Details
Click on any job in the list to see a detailed breakdown. This view shows you which sub-accounts were processed successfully and which ones encountered errors, along with the reasons for any failures. This makes it easy to identify and address any accounts that need further attention.
