Understanding and Using Prospect Statuses

What are Prospect Statuses?

Prospect statuses are a feature within the Prospecting tool that allows you to track the outcome of your leads after initial contact. Instead of managing all prospects in a single list, you can now assign a clear status to each one, helping you organize your sales pipeline and understand which leads are still active, which have become clients, and which are no longer viable.

Available Statuses

You can assign one of three primary statuses to any prospect in your list:

  • Open: The prospect is currently active and being pursued.
  • Closed Won: The prospect has successfully become a client.
  • Closed Lost: The opportunity with this prospect has concluded without a sale.

Key Benefits

Using prospect statuses provides several advantages for managing your sales process:

  • Keep all outcome tracking directly within your CRM, eliminating the need for external spreadsheets.
  • Instantly separate active leads from those that have been closed.
  • Identify successful conversions that may require follow-up or onboarding steps.
  • For agency users, it directly connects a successful close to the next step of client account creation.

How to Update a Prospect's Status

To change the status of a prospect:

  1. Navigate to the Prospecting section of your CRM.
  2. Open the detailed card for the specific prospect you wish to update.
  3. Locate and select the status field, then choose the new status: Open, Closed Won, or Closed Lost.

How to Filter Your Prospect List by Status

You can easily view subsets of your prospects based on their current status:

  1. Go to your main list of saved prospects within the Prospecting tool.
  2. Open the filter menu and look for the Status filter option.
  3. Select one or more statuses (Open, Closed Won, Closed Lost) to display only those matching records.

For Agency Users: Closed Won and Sub-Account Creation

If you are using the agency version of the Prospecting tool, marking a prospect as Closed Won unlocks a specific action. Once this status is set, the option to Create Sub-Account for that prospect becomes available, streamlining the process of moving a new client into your managed system.

Getting Started Guide for New Users

If you are new to the Prospecting tool, you will see a helpful onboarding card when you first open it. This guide is designed to walk you through essential first steps, such as creating your initial prospect, generating reports, sending data to your main CRM, capturing leads, and exploring AI-assisted discovery features. This card will disappear as you become more familiar with the tool.
