What is the Canva Integration?
The Canva Integration allows you to connect a Canva account directly to your CRM Media Storage. Once connected, you can browse, edit, download, and import your Canva designs from within your CRM without switching between applications. This integration is set up at the location level, meaning all users in that location can access the connected Canva assets.

How to Set Up Canva Integration
To connect Canva to your CRM:
- Navigate to Media Storage in your CRM.
- Click the Connect Canva button.
- A new browser tab will open for Canva OAuth login. Complete the login process.
- Click Allow to grant access to your CRM.
- Return to Media Storage. The Canva button will now show as Connected.
- Select Canva from the My Media dropdown to view, edit, and import designs.
Editing Designs in Canva
You can open supported Canva designs directly in the Canva editor from your CRM. Editing access depends on who connected the integration and the permissions set in Canva.
Supported file types for editing:
- PNG
- JPG
- JPEG
Limitations:
- Private Canva files cannot be edited.
- Only the user who connected Canva has full edit access. Other users will have view-only access and may see a message prompting them to import the design or contact an admin for access.
To edit a design:
- Click the three dots on the top right of the design.
- Select Edit in Canva.
Downloading Canva Designs
You can download Canva designs directly to your local storage from the Media Library. The download format depends on the number of pages:
- Single-page designs download as PNG.
- Multi-page designs download as PDF.
To download a design:
- Click the Download button on the top right of the design.
Importing Designs to Media Library
Importing a Canva design creates a new, independent asset in your Media Library. This copy is not linked to the original Canva design, so future changes in Canva will not update it.
Important notes:
- You must import a design before using it elsewhere in your CRM.
- The same design can be imported multiple times.
- Import formats match download formats: PNG for single-page, PDF for multi-page.
To import a design:
- Click the three dots on the top right of the design.
- Select Import to Media Library.
Multi-User Access Behavior
Access to Canva designs varies based on user roles:
- Installer (user who connected Canva): Has full edit access (when allowed by Canva file permissions) and can import designs.
- Other users in the location: Can view, search, browse, download, and import designs into their own Media Library. They cannot edit designs directly (view-only) or connect a different Canva account unless the integration is uninstalled first.
- Proxy users (Login As): Do not have access to Canva designs.
Disconnecting Canva
Disconnecting removes the OAuth connection and stops Canva designs from appearing in Media Storage. Previously imported assets remain in your Media Library.
To disconnect:
- Go to App Marketplace > Installed Apps > Canva.
- Click Uninstall.
After disconnecting:
- OAuth access is revoked.
- Canva designs no longer appear in the Canva view.
- Imported files remain in Media Storage.
- A different Canva account can be connected after uninstalling and reconnecting.

Canva is connected per location (sub-account). Each location supports one connected Canva account.
Can multiple Canva accounts be connected to the same location?
No. Only one Canva account per location is supported.
Why can’t I edit Canva designs even though I can see them?
Only the installer has direct edit access due to Canva Marketplace constraints. Other users can browse, download, and import, but will have view-only access when attempting to edit.
What does “view-only access” mean when editing?
If you are not the installer, you may see a message indicating view-only access. To make changes, import the design into your own Media Library or contact your admin for access.
Why do I have to import a Canva design before using it in my CRM?
Canva designs in the Canva view are a content source. Importing them into your Media Library makes them available for use across your CRM.
Are imported Canva files linked to the original Canva design?
No. Importing creates a new independent asset in your Media Library that does not sync with future changes made in Canva.
How does my CRM prevent duplicate Canva designs when editing from My Media?
