Dedicated IP for CRM Email: A Complete Guide
Dedicated IP for CRM Email
A Dedicated IP address for CRM Email allows you to send messages from an exclusive, unique IP address. This gives you complete ownership and control over your email sender reputation and deliverability. Email service providers (ESPs) assess the reputation of an IP address to decide whether emails from the domains associated with it should be delivered to the inbox. With a Dedicated IP, you are the sole user, so your sending practices alone determine that reputation.
When to Consider a Dedicated IP Address
You should consider getting a Dedicated IP if you send a high volume of emails, typically in the range of hundreds of thousands to millions per month. Specifically, if your volume exceeds 200,000 emails monthly, it becomes a prudent step to build your own reputation. A Dedicated IP is also vital when implementing email authentication protocols like SPF, DMARC, and DKIM, as it provides a higher level of security against spoofing compared to a shared IP. It also protects you from domain hijacking risks associated with shared IP environments.
Benefits of a Dedicated IP
While a Dedicated IP involves a higher cost than a shared IP, it offers significant advantages:
- Enhanced Email Delivery: Emails sent from a Dedicated IP often reach inboxes faster. Major providers like Gmail and Yahoo tend to favor emails from dedicated IPs, and your sending performance is not affected by other users.
- Full Control Over Reputation: As the only sender on the IP, you have total control over your sending habits and the resulting IP reputation.
- Efficient Problem Resolution: If an issue arises with your IP's reputation, it is easier to identify and resolve since you are the only one using it.
- Enhanced Cybersecurity: A Dedicated IP adds a layer of protection against threats like domain hijacking and malware.
Tips for Sending with a Dedicated IP
Managing your reputation is critical. To avoid triggering spam filters, you must carefully manage the volume and timing of your emails. It's best to start with a lower volume and gradually increase it every 24 hours. Dedicated IPs are most effective for consistently high-volume sending. Sending large volumes sporadically can be counterproductive and may get you flagged as a spammer or blocklisted. ESPs are wary of sudden spikes in email traffic. If your sending is inconsistently high, a shared IP might be a better option as it blends your traffic with the steady flow of other senders. The CRM platform has an automated warm-up process for Dedicated IPs. During this period, your emails may be split 50/50 between your new Dedicated IP and your old shared IP until the warm-up is complete. Note that the warm-up phase can last for a considerable time after the IP is assigned.
Eligibility for Purchasing a Dedicated IP
Dedicated IPs are available exclusively to Agencies on the $297/$2970 and $497/$4970 monthly plans. To maintain a strong reputation and avoid throttling by mailbox providers, it is strongly advised to send a minimum of 50,000 messages per week. It is also recommended to allocate one Dedicated IP address for every 1 million messages sent per month.
Specific eligibility criteria are:
- Agencies: An agency that has been created within the last 14 days is eligible to purchase an IP.
- Sub-Accounts: A sub-account is eligible if it has a total contact count exceeding 10,000 OR has sent more than 50,000 emails in the last 10 days. The parent agency must also have been created within the last 14 days.
- Payment Setup: A valid payment method must be set up in the account attempting the purchase.
- Agency Enablement: The parent agency must have enabled the option for sub-accounts to purchase Dedicated IPs.
Both Agencies and their sub-accounts can purchase a Dedicated IP if they are using the built-in CRM Email service as their email provider.
How to Purchase a Dedicated IP
To buy a Dedicated IP, navigate to the Email settings within your CRM dashboard. If you meet the eligibility requirements, you will see an option to purchase a Dedicated IP. Follow the on-screen prompts to complete the transaction using your pre-configured payment method.
Managing Your Dedicated IP
After purchase, you can manage your Dedicated IP from the same Email settings area. This is where you can monitor its reputation and view sending statistics.
Assigning a Dedicated IP to a Domain
To associate your Dedicated IP with a specific sending domain, go to the domain management section within the CRM's Email settings. Select the domain you wish to use and assign your Dedicated IP to it. This links your domain's reputation directly to your exclusive IP address.
