Manage Sub-Account Email Settings and Migration
Overview
From the Agency Settings area, you can oversee and manage the email service configuration for all of your sub-accounts. This article explains how to filter your sub-accounts based on their current email provider, migrate them individually or in bulk to the CRM's email service, and assign dedicated sending domains.
Filtering Sub-Accounts by Email Provider
To view your sub-accounts grouped by their email service, navigate to Agency Settings > Email Services > Location Settings. On this page, click the Filter button.
You will see three primary filter options:
- CRM: Shows sub-accounts using the CRM as their default email service.
- Mailgun: Shows sub-accounts using Mailgun as their default email service.
- Others: Shows sub-accounts using a third-party email provider that is not the CRM or Mailgun.
When filtering by the CRM option, you can further narrow the results by combining additional filters, such as a specific domain name or the email verification status.
Migrating a Single Sub-Account to CRM Email
To switch one sub-account to the CRM email service:
- Go to Agency Settings > Email Services > Location Settings.
- Locate the desired sub-account and click the pencil (edit) icon next to it.
- In the settings that appear, select CRM as the email service.
- Choose a dedicated domain for the sub-account or set the fallback to Default (Agency default domain).
- Save your changes.
Bulk Migrating Sub-Accounts to CRM Email
You can migrate multiple sub-accounts at the same time. The following example demonstrates migrating all sub-accounts using Mailgun.
- Navigate to Agency Settings > Email Services > Location Settings and click Filter.
- Select the Mailgun option to see all relevant sub-accounts. You can optionally filter further by a specific Mailgun domain.
- Once the list is filtered, click the checkbox next to any location name, then use the Select all option in the table header to choose every sub-account in the results.
- Click the Manage button and select Migrate to CRM under the Request type.
- Click Confirm and then select the dedicated domain you wish to assign to the migrated sub-accounts. Click Confirm again to finalize the migration.
Assigning CRM Email Dedicated Domains to Sub-Accounts
To assign or change the dedicated domain for a specific sub-account:
- Go to Agency Settings > Email Services > Location Settings.
- Find the sub-account and click the pencil (edit) icon to access its email settings.
By default, if a sub-account does not have its own dedicated domain assigned, it will use the agency's default dedicated domain.
Frequently Asked Questions
Can I transfer a dedicated domain from one sub-account to another?
Yes. You can either delete the domain from the current sub-account and add it to the new one, or you can add the domain at the agency level and then use the Manage > Migrate to CRM workflow to share it with the desired sub-accounts.
Can I share an agency dedicated domain with sub-accounts?
Yes. Filter for the sub-accounts, click Manage, select Migrate to CRM, and choose the agency domain to share. Note that the agency's default domain is automatically shared with sub-accounts that do not have their own domain.
Can I share a sub-account's dedicated domain with other sub-accounts?
No. A domain created for a specific sub-account cannot be shared with the agency or other sub-accounts. Only domains created at the agency level can be shared.
What happens to a sub-account's emails during migration?
The migration process changes the sub-account's sending provider to the CRM. Emails sent after the migration will use the newly assigned domain. To avoid disruption, it is best to perform migrations during periods of low email activity.
Can I filter sub-accounts by both domain and email verification status?
Yes. When using the CRM filter, you can apply both the domain name filter and the email verification status filter at the same time to refine your search results.
