Understanding Sending Limits and Reputation Protection for Shared Domains
Introduction
For sub-accounts using a shared sending domain, the CRM now provides clear visibility into email sending limits and account health. This system is designed to protect the overall reputation of the shared domain by gradually increasing sending capacity for accounts that demonstrate good email practices. You can now see your current status, daily usage, and a complete history of changes directly within your CRM.
What You'll See on the Email Services Page
When you navigate to the Email Services page in your sub-account, you will find new information panels at the top of the screen.
The Sending Limit Panel
This panel displays three key metrics at a glance:
- Daily Limit: The maximum number of emails your account can send today, based on its current sending stage.
- Sent Today: A live counter of the campaign and bulk emails you have sent so far today.
- Remaining: The number of emails you have left to send today, calculated in real time.
When you reach your daily limit, the panel will turn red and display a "Daily limit reached" message, noting that the counter resets at midnight UTC. A prominent banner will also appear at the top of the page, and you will be unable to send new campaign emails. Please note that one-to-one emails, payment confirmations, calendar invitations, and system notifications are not counted against this daily limit and will continue to send normally.
Stage and Status Badge
Your account is assigned a sending stage from 1 (Starting) to 8 (Maximum). This stage determines your daily sending limit. The current stage is shown as a badge next to your daily limit. A tooltip next to this badge explains how the staging system helps protect shared domain reputation.
New accounts begin at Stage 1 with a status of "Warming up." As your account maintains healthy sending performance, it will automatically progress through the stages, increasing your daily limit. The stages and their corresponding daily limits are:
- Stage 1 — Starting: 1,000
- Stage 2: 2,500
- Stage 3: 5,000
- Stage 4: 6,500
- Stage 5: 8,000
- Stage 6: 10,000
- Stage 7: 14,000
- Stage 8 — Maximum: 15,000
When an account reaches Stage 8, it will see a recommendation to create a dedicated domain for unlimited sending.
Contextual Alerts and Recommendations
The Email Services page will now display specific alerts and actionable recommendations based on your account's sending health. These are designed to help you identify and resolve issues that could affect deliverability.
- High Bounce Rate: A red banner appears if your hard bounce rate exceeds a safe threshold. Recommendations will guide you on steps to clean your contact list, which may include enabling email validation if it is not already active.
- Low Delivery Rate: If your delivery rate drops below 95%, a banner will appear suggesting you pause campaigns to unengaged contacts and review your audience targeting.
- High Spam Complaints: When spam complaints exceed the threshold, the guidance will focus on improving opt-in quality, maintaining list hygiene, and ensuring your unsubscribe process is clear and easy to find.
- Account Flagged (Stage 1): If a new account at Stage 1 experiences critical health issues, it will enter a flagged state. The page will provide specific steps for suppressing problematic contacts and will reassure you that transactional emails are unaffected.
- Suspended: If your sending privileges are suspended, the usage tiles will show as "unavailable," and the page will clearly state that all sending is halted pending a manual review.
Stage History Timeline
An expandable "Stage History" section provides a complete audit trail of your account's sending capacity. This timeline lists every stage change, the date it occurred, and the reason for the change.
- Upgrades are tagged as "Stage improved" and show the new daily limit.
- Downgrades are tagged as "Stage declined" and indicate the trigger, such as a bounce spike, sustained delivery issue, or spam complaint spike.
This gives both users and agency administrators clear insight into how the account's sending reputation has evolved over time.
