How Your CRM Chooses an Email Provider
When sending emails, your CRM follows a specific priority order to select which email provider to use. This ensures that the most specific and appropriate settings are applied first.
The Order of Priority
The system checks for a configured provider in the following sequence:
- Sub-Account Default Provider: The system first looks for an email provider set as the default within the specific sub-account's settings.
- Location-Specific Email Settings: If no default provider is selected for the sub-account, the system then checks for an email provider configured specifically for that location from the agency view. If no location-specific provider is set, it will use the provider configured for the agency.
- Agency Default Provider: If no provider is set at the sub-account or location level, the system uses the default provider configured in the Email Services tab within the agency settings. This provider is also used to send email verification codes.
- CRM's Default Email Service: If no other email providers are configured at any level, the system will use the built-in CRM email service to send and receive emails.
Configuring Providers for Locations
You have flexibility when setting up providers like Mailgun for individual locations. You can:
- Use the same Mailgun API key and domain for multiple locations.
- Use the same API key with different domains or subdomains for different locations.
- Use completely different Mailgun API keys and domains for each location.
Setting up a unique domain or subdomain for a location is particularly useful for managing cold inbound emails.
Using the Built-in CRM Email
When you add a custom domain at the agency level, it will be applied to all sub-accounts by default. However, if you later set up a custom domain at a specific sub-account level, that sub-account's domain will take priority for its emails.
