Before You Begin

Ensure you have the following permissions and settings configured before setting up the integration.

  • The Premium Features for Workflows may need to be enabled by your agency account to use certain actions and triggers.

Connecting Your ClickUp Account

You connect your accounts using ClickUp's secure OAuth process. This allows the CRM to receive events and perform actions on your behalf.

  1. Navigate to AutomationWorkflows in your CRM.
  2. Add a ClickUp trigger or action step to a workflow.
  3. If you haven't connected before, click Connect Now and log in to your ClickUp account to grant access.
  4. If already connected, the step's configuration fields will appear immediately.

Triggers start a workflow in your CRM when a specific event occurs in ClickUp.

  • New Task: Triggers when a new task is created.
  • Task Changes: Triggers when a task is updated (e.g., status, due date).
  • New List: Triggers when a new list is created.
  • New Folder: Triggers when a new folder is created.
  • New Comment on a Task: Triggers when a comment is added to a task.
  • New Attachment Added to Task: Triggers when a file is attached to a task.
  • New Reaction on Chat Message: Triggers when a reaction is added to a public channel message.
  • New Reaction on Task Comment: Triggers when a reaction is added to a task comment.
  • New Time Entry: Triggers when time is logged against a task.

Actions are steps you add to a CRM workflow to create or update items within ClickUp.

  • Create Task: Creates a new task with details like name, due date, and assignee.

  • Create Space: Creates a new workspace or team space.
  • Create Folder: Adds a new folder to organize lists.

How to Set Up a ClickUp Workflow Step

Follow these general steps to build an automated process linking your CRM and ClickUp.

  1. Open a Workflow: Go to AutomationWorkflows and create a new workflow or edit an existing one.
  2. Connect Accounts: Add a ClickUp step. If not connected, click Connect Now to authorize. This can also be done via SettingsIntegrations.
  3. Choose the Direction:
    • To start a CRM workflow from a ClickUp event, add a ClickUp Trigger (e.g., New Task).
    • To perform an action in ClickUp from a CRM workflow, add a ClickUp Action (e.g., Create Task). When using an action, select the target Workspace or List and map data from your CRM contacts, opportunities, or forms.
  4. Structure Your Workflow: Use If/Else conditions to filter actions based on pipeline stage or other criteria. Add Wait steps when a subsequent action depends on a previous one being completed, such as waiting for a list to be created before adding tasks to it. Space out actions that create many items to avoid overloading the system.
