Migrating from Kajabi to Your CRM

This guide will help you transition your online courses, contacts, calendars, offers, and automations from Kajabi to your CRM. Following these steps will ensure you can fully leverage the integrated marketing automation and CRM features available.

Preparation for Migration

Step 1: Review Your Current Kajabi Setup

• Identify Key Assets: Create a list of all your courses, offers, automations, and other digital assets currently in Kajabi.
• Document Workflows: Record the details of your critical automations, email campaigns, and integrations.
• Assess Data Volume: Evaluate the amount of content (like videos and attachments) and data (like contacts and orders) that needs to be moved.

Step 2: Define Your Migration Goals

• Set Clear Objectives: Determine what you want to achieve by migrating, such as improved CRM capabilities or cost savings.
• Prioritize Features: Decide which content and workflows are most important to migrate first.

Step 3: Prepare a Backup

Ensure all your Kajabi data is securely backed up before starting the migration process.

Migrate Courses

The CRM's Kajabi importer tool allows you to transfer courses, including videos, text, and images. Please note that assignments and quizzes are not automatically transferred and must be recreated manually.

Step 1: Setup for Success

• Create a backup of your Kajabi themes and course content.
• Plan to start the migration during off-hours to minimize disruption for your learners.

Step 2: Import Courses into the CRM

1. Navigate to Sites > Memberships in your CRM and select Import from Kajabi.
2. Follow the on-screen instructions to securely authenticate your Kajabi account.
3. Select the specific courses you wish to import. Only published lessons will be transferred.
4. Click Import Course and wait for the process to complete. The time required will depend on the size of the course.

Step 3: Recreate Assignments and Quizzes

1. Go to Sites > Memberships > Products and select the product where you want to add an assessment.
2. Click the "+" icon next to the section title and choose Add Assessment.
3. Enter a title for your assessment and click Save.
4. Optionally, set a passing grade and create custom pass/fail messages.
5. Add questions by selecting Single Choice or Multiple Choice. Type your question, add answer choices, and mark the correct option(s).
6. After saving, return to the product editing page and click Publish next to your assessment to make it live for course members.

Migrate Contacts

Step 1: Export Your Contact List from Kajabi

1. In Kajabi, go to the Contacts tab.
2. Select all contacts and use the bulk action dropdown to export them as a CSV file.
3. The CSV file will be emailed to you; download it promptly as the link expires within three days.

Step 2: Prepare the CSV File for Import

• Check Date Formats: Ensure all date fields are in the YYYY-MM-DD format.
• Encode Special Characters: The file must use UTF-8 character encoding.
• Clean Up Data: Remove line breaks, emojis, and unnecessary special characters to prevent errors.
• Recreate Custom Fields: In your CRM, navigate to Contacts > Settings > Custom Fields and add any custom fields that match your Kajabi data structure.

Step 3: Import Contacts into the CRM

1. Log in to your CRM and go to the Contacts section.
2. Click the Import Contacts button.
3. Upload your prepared CSV file.
4. Map the fields from your CSV to the corresponding fields in the CRM (e.g., map "First Name" to "First Name").
5. Assign tags and lists to the contacts during the import. Consider using a tag like "Imported from Kajabi" to identify the source.
6. Click Import to complete the process.

Migrate Calendars

You can migrate your appointment calendars from Kajabi, which support both one-time and recurring events. The process for migrating third-party calendars, such as Google Calendar, will involve reconnecting these services within your CRM's calendar settings.
