Migrating from Zoho to Your CRM Platform

This guide outlines the process for moving your business operations from Zoho's suite of applications to your new CRM platform. A successful migration involves transferring key data, such as contacts and opportunities, and rebuilding essential functionalities like calendars and automations within the CRM's integrated environment. Careful preparation of your data is crucial for a smooth transition.
Pre-Migration Checklist
To ensure a complete migration, plan to transfer the following components from Zoho to your CRM:

Migrate Contacts
Step 1: Export Contacts from Zoho
First, prepare your contact data for export. Recreate any Zoho mailing lists or segments as tags, which will be used during the import into your CRM. To export, navigate to your Zoho account's Setup area, find the Data Administration section, and select Export. Start a new export, choose the Contacts module, and select the fields you wish to export. Ensure your selection includes either email or phone number fields. Initiate the export and download the resulting CSV file once the process is complete.
Step 2: Prepare the CSV File
Before importing, you must format the CSV file correctly. Verify that all date fields use the YYYY-MM-DD format. The file must be saved with UTF-8 character encoding to preserve special characters. Clean the data by removing line breaks and emojis to prevent import errors. Finally, log into your CRM and navigate to the Contacts settings to create any custom fields needed to match your Zoho data structure.
Step 3: Import Contacts into Your CRM
Log into your CRM and go to the Contacts section. Click the Import Contacts button, upload your prepared CSV file, and follow the prompts to map your CSV columns to the corresponding fields in the CRM. During this process, you can assign contacts to specific lists and apply tags, such as one indicating the import source. After confirming all mappings, complete the import.
Step 4: Review Imported Data
Once the import is finished, review the contacts in your CRM for accuracy. Recreate any smart lists or mailing lists using the tags you applied during migration. Cross-reference the imported data with your original Zoho records to ensure no information was lost or corrupted.
Migrate Users
Step 1: Export User Data from Zoho
Export your user list by going to the Data Administration section in Zoho Setup. Start an export for the Users module, select the necessary fields (including email), and download the CSV file.
Step 2: Prepare User Information
Open the exported CSV and confirm that all users have unique email addresses. Organize the list by team and note each user's permissions. Determine whether each user should be recreated at the agency level or for specific sub-accounts within your CRM.
Step 3: Manually Add Users to Your CRM
Users must be added manually. In your CRM, navigate to Settings and find the Team management section. Click to add a new employee. For each user, set their type (agency or sub-account), assign a role (like admin or standard user), and configure their permissions for different CRM features. You can save time by cloning permissions for users on the same team.
Migrate Calendars
Calendar functionality, including appointments booked through Zoho Bookings, cannot be imported directly. You will need to manually recreate your calendar settings and appointment types within your CRM's Calendar section. Any existing future appointments from Zoho must be exported and then manually re-entered or invited into the newly created CRM calendars.
