Automating Opportunities

You can automate key parts of your sales process using the CRM's workflow builder. This guide will help you set up automation for opportunities, saving time and ensuring consistency.

Step 1: Identify Repetitive Tasks

Begin by analyzing your sales cycle to pinpoint tasks that are repetitive. Common examples include sending follow-up emails, assigning new leads to sales reps, scheduling appointments, or updating an opportunity's status.

Step 2: Design Automated Workflows

To start building, go to the Automations section in your CRM dashboard and select Workflows. Click the option to create a new workflow and give it a clear, descriptive name that indicates its purpose.

Step 3: Choose a Trigger Event

Select an event that will start the workflow. For opportunities, you can use several specific triggers:

  • Opportunity Status Changed: The workflow starts when an opportunity's status is updated. You can filter based on standard or custom opportunity fields.
  • Opportunity Created: The workflow is triggered when a new opportunity is created, with filtering available on any of its fields.
  • Stale Opportunities: This trigger activates for opportunities that have had no activity for a specified number of days, which can also be filtered.
  • Pipeline Stage Changed: Use this when an opportunity moves to a different stage in the pipeline, with filtering options available.

Step 4: Add Workflow Actions

Once the trigger is set, add the actions the system should perform automatically. Key actions for opportunities include:

  • Create Opportunity: This action lets you automatically generate a new opportunity, setting values for fields like Pipeline, Pipeline Stage, Opportunity Name, Source, Status, and Lost Reason.
  • Remove Opportunities: This action allows you to delete an opportunity from a specific pipeline.
  • IF/ELSE Branching: You can create conditional paths in your workflow. Note that you can only filter using opportunity fields if the workflow is triggered by an opportunity-based event.

Step 5: Test and Refine

After building your workflow, test it thoroughly. Use test contacts or dummy data to trigger the workflow and confirm that each action executes correctly. Monitor its performance and gather feedback to make any necessary adjustments.

Step 6: Activate the Workflow

When you are confident the workflow operates as intended, activate it. The CRM will then automatically run the workflow whenever the trigger conditions are met, handling your repetitive tasks efficiently.
