How to Duplicate and Copy Pipelines to Other Accounts

About Duplicating and Copying Pipelines

This feature allows you to create a copy of an existing opportunity pipeline, either within the same account or across multiple accounts. Instead of manually rebuilding a pipeline stage by stage, you can replicate a proven structure quickly, saving time and ensuring consistency in your sales processes.

Key Benefits

  • Save Time: Quickly replicate complex pipeline structures instead of configuring them manually.
  • Maintain Consistency: Ensure all teams or client accounts use standardized sales processes.
  • Simplify Onboarding: Roll out effective pipeline templates to new accounts efficiently.
  • Enable Testing: Create a copy within your account to safely test changes before a wider rollout.

Duplicate vs. Copy to Other Accounts

It's important to understand the distinction between these two actions:

  • Duplicate: Creates a copy of the pipeline within the same account. Use this when you want to create a variation or test a new idea without affecting the original.
  • Copy to Other Accounts: Sends a copy of the pipeline to one or more different accounts. This is ideal for agencies distributing a standard pipeline template to their clients' accounts.

Required Permissions

Your ability to perform these actions depends on your user role:

  • To duplicate a pipeline, you need Edit access to that specific pipeline.
  • The ability to copy a pipeline to other accounts is reserved for Agency Admins only.

What Gets Copied

When you duplicate or copy a pipeline, not all associated elements are transferred. This helps manage expectations and highlights what you may need to configure afterward.

What is Always Copied

  • Pipeline stages
  • Chart visibility settings

What is Never Copied

  • Opportunity records (deals) within the pipeline
  • Automations linked to the pipeline
  • Reports
  • Custom fields

Additional Notes for Copying to Other Accounts

When copying a pipeline to a different account, the following are also not copied:

  • Pipeline permissions
  • Colored smart tags

However, when duplicating within the same account, these items are copied over.

How to Duplicate a Pipeline in the Same Account

Follow these steps to create a copy of a pipeline within your current account.

  1. Navigate to the Opportunities section and select Pipelines.
  2. Locate the pipeline you wish to duplicate. Click the three-dot menu icon on its row and select Duplicate.
  3. A configuration window will appear. Here you can:
    • Change the Pipeline Name (a default name with "(copy)" is provided).
    • Set the display colors for the pipeline stages.
    • Modify, add, or remove pipeline stages.
    • Choose whether each stage should be visible in reports.
  4. Click Duplicate to finalize the process. The new pipeline will appear in your list.

How to Copy a Pipeline to Other Accounts

Agency Admins can use this feature to distribute a pipeline to multiple accounts at once.

  1. Go to Opportunities > Pipelines.
  2. Find the pipeline to copy, click its three-dot menu, and select Copy to sub-accounts.
  3. In the window that opens:
    • Confirm or change the Pipeline Name.
    • Select one or more destination accounts from the list.
  4. Click Copy. The pipeline will be created in each of the selected accounts.

Best Practices

  • Rename Immediately: Give duplicated pipelines a clear, distinct name to avoid confusion with the original.
  • Test Before Rolling Out: Use the duplicate function to test and refine pipeline changes in a safe environment before copying them to other accounts.
  • Standardize Templates: Create and perfect a set of pipeline templates before distributing them widely.
  • Review Post-Copy Setup: Remember which settings (like permissions and automations) are not copied, and plan to configure them in the new location if needed.
