Adding Processing Charges or Additional Fees to Customer Payments
About the Processing Charge Feature
The Processing Charge feature in your CRM allows you to automatically add extra fees, such as payment processing or convenience fees, to customer transactions. This helps you recover costs and maintain transparency by clearly showing these itemized charges to customers during checkout or on invoices. It is your responsibility to ensure compliance with all applicable laws regarding surcharging, as it may be prohibited in some areas.
How the Charge is Calculated
The processing charge is calculated as a percentage of the transaction amount. For standard payments, this is the subtotal minus any discounts plus taxes. For e-commerce transactions, shipping costs are also included in the base amount. The fee is then rounded to two decimal places before being added to the final total the customer pays.
Where Processing Charges Apply
You can configure the fee to apply to payments from the following sources within your CRM:
- E-commerce Stores (does not apply to upsell products)
- Invoices & Estimates
- Funnels
- Forms
- Surveys
- Payment Links
- Services
Important Note: This feature is unavailable for PayPal and custom payment providers, except for Invoices where it works with all providers. The charge is also not applied to invoices paid via the mobile app.
Configuring a Processing Charge
Follow these steps to set up an additional fee.
Step 1: Access Payment Settings
Log into your account and go to Payments > Settings. Scroll down to the section labeled Miscellaneous Charges.
Step 2: Define the Fee
Toggle the Processing Charges switch to enable the feature. Define a custom label for the fee that will be shown to customers (e.g., "Convenience Fee"). Then, enter the percentage of the fee you wish to apply (e.g., 2.5%).
Step 3: Select Payment Sources
Use the checkboxes to select the payment channels where the processing charge should be applied. You can choose from Invoices & Estimates, Funnels, E-commerce Stores, Payment Links, Forms, and Surveys. Once you have made your selections, click Save to confirm the configuration.
Viewing Charges
During Checkout
The processing charge appears as a distinct line item during the customer's checkout process. For invoices, it is displayed after the customer clicks the Pay button. In funnels, forms, and payment links, it is shown as part of the total amount.
In Reports
You can view a detailed breakdown of all applied processing charges by exporting the Transactions CSV or Orders CSV reports. These exports include fields with details about the fees for individual transactions and orders.
Troubleshooting: Charge Not Showing on Invoices
If a processing charge is not appearing on an invoice, check the following:
- Confirm that Invoices & Estimates is selected in the Payment Settings and that you have saved the configuration.
- Remember that the charge only appears on the invoice after the customer clicks the Pay button; it may not be visible in the initial preview.
- If the invoice is a draft created before the feature was enabled, you must edit and save the draft for the charge to appear.
- Invoices that were already sent to customers before you enabled the feature will not be updated with the new charge.
- Processing charges do not apply to invoices paid through the mobile app.
- To test, create a new test invoice after enabling the feature, open the payment link, click Pay, and verify that the charge line item appears.
