Exporting Transaction Data for Reporting

This article explains how to generate a CSV export of your transaction records for use in accounting, reconciliation, reporting, and compliance workflows. The exported file provides a detailed breakdown of payment activities and is delivered securely via email.

How to Export Transactions

To create a transaction export:

  1. Navigate to PaymentsTransactions in your CRM.
  2. Optionally apply filters or search terms to narrow down the transactions you wish to export (e.g., by date range, payment status, or source type).
  3. Click the Download icon.

A secure download link for your CSV file will be emailed to the address associated with your user account. For security, this link is valid for 7 days and is unique to you. If the link expires, you can simply generate a new export.

Email Delivery

The export process is not instantaneous within the app. You will receive an email with the download link, typically within a few minutes of your request. You must use this link to retrieve your file.

Understanding the CSV Structure

It is important to understand that a single transaction in your CRM may be represented by multiple rows in the exported CSV. This structure ensures every financial component is itemized for clarity.

  • Products: Each product in a transaction creates a separate line item row.
  • Taxes: A unique row is created for each distinct tax name applied to a product.
  • Miscellaneous Charges: Additional fees, such as processing charges or tips, are also broken out into their own rows.

Because of this multi-row formatting, not every column will be populated on every row. Data specific to a product or tax will appear on its corresponding row, while the full set of transaction data is available on one primary row per transaction.

Data Consistency and Formatting

The export is designed for reliable use in business intelligence and accounting systems.

  • Zero vs. Blank Values: A 0 appears only when a field is applicable and its value is truly zero. A field is left blank when it does not apply to that specific row or record.
  • Stable Structure: The column order remains consistent across all exports to support automated data imports, pivot tables, and reporting pipelines. Remember the rule: do not assume one row equals one transaction.

Column Reference Guide

The exported CSV includes numerous columns to provide a complete financial picture. Key columns include:

  • Internal transaction id: A unique identifier for the transaction within the CRM.
  • Customer name/email/phone: The customer's contact information from the transaction.
  • Payment method: How the payment was made (e.g., Credit Card, Cash).
  • Sub total, Discount, Total tax amount, Tip amount, Late fees: Financial breakdown of the transaction components.
  • Total amount due vs. Total amount paid: The original invoice total and the actual amount collected.
  • Status: The current state of the transaction (e.g., Success, Refunded).
  • Source type/name: Where the purchase originated (e.g., Invoice, Funnel Page).
  • Transaction date/time: The timestamp of the charge.
  • Line item name/price/quantity: Details for individual products purchased.
  • Tax name/amount: Details for applied taxes.
  • Processing charge name/amount: Details for any additional fees.
