Payments: Understanding the Subscriptions Page

Your CRM provides a dedicated area to view and manage customer subscriptions processed through your sales funnels. This article explains what information is available on the Subscriptions page and how to interpret it.

Accessing the Subscriptions Page

To view your subscriptions, navigate to the main Payments section within your CRM dashboard. From there, locate and select the Subscriptions tab or menu option. This will load the main list view.

Important Note: Currently, the Subscriptions page only displays subscriptions generated through the newer version (version 2) of the CRM's funnel order forms. Future updates are planned to bring more management features, like cancellation and refund initiation, directly into the CRM interface.

Information Listed on the Subscriptions Page

The main list provides an overview of all active and historical subscriptions created via one-step or two-step order forms in funnel version 2. Each entry typically includes the following details:

  • Subscription & Provider ID: A unique identifier for the subscription and the connected payment gateway (e.g., Stripe, PayPal).
  • Customer Details: The name and contact information of the subscriber.
  • Source: The specific funnel and order form where the subscription was initiated.
  • Creation Date: The date the subscription was successfully established.
  • Amount: The recurring charge amount and frequency (e.g., $29/month).
  • Status: The current state of the subscription (e.g., Active, Canceled, Trial).

Viewing Subscription Details

Clicking on a specific subscription from the list opens a detailed view. This view provides deeper insights, including:

  • Complete payment provider details and the exact source of the subscription creation.
  • A history of subsequent transactions and payments for that subscription, if it was created through Stripe.

Understanding Subscription Statuses

The status shown in your CRM corresponds to the state of the subscription in the connected payment gateway. The table below outlines how common statuses map between your CRM and the providers.

Status Synchronization with Payment Gateways

  • For Stripe Subscriptions: Status and payment information are synchronized. If you cancel a subscription in Stripe, it will automatically update to "Canceled" in your CRM. All recorded payments will stay in sync.
  • For PayPal Subscriptions: Statuses are not automatically synchronized. The subscription entry is created for tracking purposes, but its status in the CRM will not reflect subsequent changes made in PayPal, and upcoming payments are not currently captured in the details.

Common Questions

Do failed subscriptions appear on this page?

No. If the initial payment fails during the subscription setup on the order form, the subscription is not created and will not appear on this page. However, the contact record for the person attempting to subscribe is usually still created in your CRM.

What is NOT included on the Subscriptions page?

This page is specific to funnel-based subscriptions. It does not include:

  • Recurring invoice templates created in the main Invoices section.
  • Subscriptions managed through the standalone Memberships area.
