Why MRR Can Differ Across Tools

If you use financial tools like ProfitWell or Stripe alongside your CRM, you might notice slight variations in your Monthly Recurring Revenue (MRR) figures. This is completely normal, as each platform calculates MRR using different timing rules and revenue recognition methods. Your CRM provides a real-time, event-driven view of recurring revenue specifically for SaaS and reselling subscriptions managed within the platform.

What Your CRM Includes in MRR

Your CRM calculates MRR exclusively from subscriptions created and managed within the platform. Subscriptions originating outside the CRM (such as those created directly in Stripe) are not included in MRR calculations.

Dashboard Tab Breakdown

  • Summary Tab: Shows combined MRR from both SaaS and reselling subscriptions created within CRM
  • SaaS Tab: Displays MRR only from SaaS subscriptions (excludes reselling and external subscriptions)
  • Reselling Tab (Coming Soon): Will show MRR only from reselling subscriptions (excludes SaaS and external subscriptions)

Platform Comparison: MRR Calculation Methods

Cancellation/Churn Timing

  • CRM: Recognizes MRR until actual cancellation date (end of billing cycle)
  • ProfitWell: Recognizes MRR until end of billing cycle
  • Stripe: Removes MRR immediately at cancellation, even if access continues

New Business and Churn in Same Month

  • CRM: Recognizes both new and churn MRR
  • ProfitWell: Excludes such customers to avoid double counting
  • Stripe: Recognizes both new and churn MRR

Discounts and Credits

  • CRM: Always subtracts discounts/credits before MRR calculation
  • ProfitWell: Subtracts discounts/credits before calculation
  • Stripe: Handles differently - permanent coupons reduce MRR, temporary ones may not

One-Off Refunds

  • CRM: Ignored from MRR (only recurring price changes affect MRR)
  • ProfitWell: Ignored unless refund permanently alters recurring value
  • Stripe: May reduce MRR if refund cancels or modifies active subscription

Paused Subscriptions

  • CRM: Treated as contraction; resumption treated as expansion
  • ProfitWell: Sets MRR to $0 while paused, resumes upon reactivation
  • Stripe: Sets MRR to $0 while paused, returns when reactivated

Free Plans/Trials

  • CRM: Excluded from MRR until upgraded to paid plan (counts as active subscribers in other metrics)
  • ProfitWell: Excluded from MRR (only paid recurring subscriptions count)
  • Stripe: Excluded from MRR

Past-Due Subscriptions

  • CRM: Treated as active until marked "Cancelled" or "Unpaid" after dunning process
  • ProfitWell: Same approach - active until marked unpaid/cancelled
  • Stripe: Same - active and contributes to MRR until failure completes dunning

Currency Handling

All amounts are converted to USD before MRR calculation to ensure consistent data comparison across global customers. Multi-currency support for viewing MRR in local currencies is coming soon.
