Using Custom Values and Partial Quantities in Estimates
About Custom Values and Partial Quantities
Custom values and partial quantity support are two features that give you greater flexibility when creating estimates in your CRM. Custom values let you define and reuse specific data points, while partial quantities allow you to bill for fractional amounts of a product or service, like 1.5 hours of labor. Together, these tools help you create more accurate and tailored estimates for your clients.
How to Use Custom Values in Estimates
You can set up and use custom values in two different places, depending on your needs.
Adding Custom Values While Editing an Estimate
If you need to add a one-off custom value for a specific estimate, you can do so directly in the editor.
- Go to the Estimates section in your CRM.
- Open an existing estimate or create a new one.
- Find the field labeled Custom Values and enter your information.
- Save or send the estimate as needed.
Setting Up Default Custom Values in Settings
To apply the same custom values automatically to all new estimates, you can define them in your settings.
- Navigate to Settings from the main menu.
- Select Estimates Preferences.
- Define and save your desired custom values here. These will now be available by default whenever you create a new estimate.
How to Enable Partial Quantity Support
This feature allows you to enter quantities that are not whole numbers, which is useful for services billed by the partial hour or materials sold by fractional units.
- Open the Estimates module.
- Create a new estimate or edit an existing one.
- When adding an item to the estimate, you can enter a decimal number in the Quantity field (for example, 2.5 or 0.75).
- The CRM will calculate the total price based on this fractional quantity. Save or send the estimate when finished.
Frequently Asked Questions
Can I use both editor-level and settings-level custom values?
Yes. You can have default values set in your Settings, and still manually adjust or add new custom values for any individual estimate while editing it.
Does using partial quantities affect the price calculation?
No. The system calculates the line item total by multiplying the unit price by the fractional quantity you enter, ensuring the math is always accurate.
