About Social Planner Email Notifications
Stay informed about the status of your social media activities directly from your inbox. You can configure the CRM to send automatic email notifications for key events in the Social Planner.
Available notifications include:
- Account Pre-Expiry: A reminder sent before a social account's access token (e.g., for a Facebook Page) is due to expire, prompting you to refresh it.
- Account Expired: An alert that a social account's token has expired and needs to be reconnected.
- Request for Approval: A message sent to a user requesting their approval for a scheduled social post.
- Post Approved: A confirmation sent to the creator of a post when their scheduled post is approved.
- Post Rejected: A notification sent to the creator of a post when their scheduled post is rejected.
- Post Failed: An alert that a scheduled social post did not publish successfully.
Accessing Notification Settings
To manage these notifications, follow these steps:
- Navigate to Marketing > Social Planner.
- In the Social Planner interface, locate and click the gear icon (settings) found next to the New Post button.
- Within the settings menu, select the Notification tab to view and configure all available alerts.
Configuring Individual Notifications
Each notification type can be customized independently by clicking its corresponding pencil (edit) icon.
Account Pre-Expiry Notification
This notification reminds users to refresh an account's access token before it expires. When editing, you can:
- Select which sub-account users should receive the reminder.
- Set how frequently the reminder is sent.
- Choose a custom email template instead of the default.
Account Expired Notification
This alert informs users that an account token has expired. When editing, you can:
- Select which sub-account users should be notified.
- Set the frequency for reminder emails.
- Select a custom email template.
Request for Approval Notification
This message is sent to users who need to approve a scheduled post. When editing, you can:
- Select a custom email template.
Approved Post Notification
This confirmation is sent to the post creator upon approval. When editing, you can:
- Select a custom email template.
Rejected Post Notification
This notification is sent to the post creator if their post is rejected. When editing, you can:
- Select a custom email template.
Failed Post Notification
This alert is sent when a scheduled post fails to publish. When editing, you can:

How do I change the default email template for a notification?
To use a custom template:
- Go to Emails > Templates.
- Click New and select Email Marketing Template.
- In the template library, select System Template from the left-hand menu.
- Choose the Social Planner notification template you wish to modify, load it, and edit the content.
- Return to the Social Planner notification settings and select your new custom template.
How does the Pre-Expiry notification work?
If enabled, the pre-expiry notification is automatically triggered when a social account token (like for a Facebook Page) is a set number of days away from expiring. For example, for a token that expires after 90 days, the notification may be sent around the 80-day mark to give you time to refresh it.
