Linking Tasks to Multiple Records
Keep your team coordinated by connecting a single task to multiple records within your CRM. This feature allows you to associate one task with up to ten contacts, ten opportunities, ten companies, and ten custom objects, ensuring everyone has the necessary context without creating duplicate tasks.
Understanding Multi-Record Task Associations
Previously, tasks could only be linked to a single contact. This enhancement removes that limitation, enabling you to attach a task to various record types. This provides complete visibility, as the same task will appear within each linked record's profile.
Key Advantages
Linking tasks to multiple objects helps your team work more efficiently.
- Full Context: The task is visible in the Associated Objects section of every record it is linked to.
- Better Collaboration: Team members from different departments can all follow the same action item, even if they primarily work with different types of records.
- Reduced Duplication: Eliminates the need to create separate, identical tasks for each related record.
- Advanced Filtering: Filter your task lists based on the specific contacts, opportunities, or other records they are associated with.
Default Linking Behavior
To save you time, the CRM automatically suggests links when you create a task from a specific record.
- From the Main Tasks Page: The task starts with no associations; you can manually select the records you need.
- From a Contact: The contact is pre-linked, and if a primary company exists for that contact, it is also pre-linked.
- From an Opportunity: The opportunity, its primary contact, and that contact's primary company are all pre-linked.
- From a Company: The company is pre-linked.
You can always edit these suggested associations during or after task creation.
Viewing Linked Records
To see all the records connected to a task, navigate to the task list in any record's profile or on the main Tasks page. Hover your cursor over the chain-link icon next to a task to see a quick preview of all linked records. You can click on any record name in this preview to open it in a new tab.
Filtering Tasks by Association
Use the filter options on the main Tasks page or within a record's task panel to narrow down your view. You can filter to show only tasks linked to a particular contact or opportunity. Combine this with other filters, such as task status or assignee, to create highly focused lists.

Frequently Asked Questions
What happens to tasks created before this feature was available?
Existing tasks remain linked only to their original contact. You can edit these tasks to add more associations if needed.
Can I link more than ten records of a single type?
No, the limit of ten per object type is enforced to maintain performance and data clarity. For projects involving more records, consider creating multiple tasks.
Can workflows automatically set these associations?
Currently, associations must be managed manually in the user interface. Automated workflow actions for task associations are planned for a future update.
Do recurring tasks keep the same links?
Yes. When a new instance of a recurring task is generated, it will inherit all the associations from the original task.
How do user permissions work with linked tasks?
A user can see a task if they have permission to view at least one of the records associated with it.
