Managing Internal Team Tasks
Your CRM includes a dedicated task management system that allows you to create and assign work items directly to team members, independent of any specific client or contact. This feature is ideal for managing internal projects, daily responsibilities, and team coordination.
Creating a Contactless Task
To create an internal task not linked to a contact, navigate to the main Tasks list page in your CRM. Here, you can create a new task, fill in the title, details, due date, and assign it directly to a team member without selecting a contact from your database.
Viewing and Filtering Internal Tasks
All tasks, including these internal ones, appear in the main Tasks list. To filter the list to show only internal tasks, use the filter options on the page. Look for the filter field related to the contact and select the option for "Unassigned" to view tasks that are not attached to any contact record.
Managing Task Associations
You have full flexibility in managing how a task is associated with a contact. You can create a task without a contact, or you can add a contact to an existing task at any time. Similarly, you can remove or reassign the contact linked to a task after it has been created, giving you complete control over your task organization.
Automating Internal Tasks with Workflows
You can automate the creation of these internal tasks using the workflow automation engine. Use the "Add Task" action within a workflow. When this action runs in a workflow that is not triggered by or associated with a specific contact—such as certain system events—it will create a contactless task. If a contact is present in the workflow, the task will automatically be attached to that contact.
Common Questions
How do I create tasks with dynamic due dates or based on specific triggers?
While the main Tasks section is designed for manual creation, setting up automated tasks with conditional logic or dynamic timing requires the use of Workflows. To do this, build a workflow in the Automation section and use the "Add Task" action. This allows you to trigger task creation from events like form submissions, set relative due dates (e.g., "in 3 business days"), and automatically assign them to team members.
