Automate Actions When a Contact Joins a Group
Overview
The Group Access Granted trigger allows you to start an automated workflow whenever a contact is added to a specific group within your CRM. This is perfect for instantly welcoming new members, sharing relevant resources, or updating their profile with new information, ensuring a seamless and personalized onboarding experience.
How to Configure the Trigger
To set up a workflow using this trigger, follow these steps in your CRM's workflow builder.
1. Create or Edit a Workflow
Navigate to the Workflows section and either create a new workflow or edit an existing one.
2. Select the Trigger
When prompted to choose how your workflow starts, select the trigger type labeled Group Access Granted.
3. Configure the Trigger Details
After selecting the trigger, you will need to specify its settings. The key configuration is to select which specific group will activate the workflow. The trigger will fire only when a contact is granted access to the group you choose here.
4. Build Your Workflow Actions
Once the trigger is configured, you can add the actions you want to automate. Common actions following this trigger include:
- Sending a welcome email or SMS.
- Adding a note to the contact's profile.
- Assigning a task to a team member.
- Adding the contact to a different list or applying a tag.
5. Test, Save, and Activate
Before making the workflow live, use the test function to ensure it operates correctly with a sample contact. Once you are satisfied, save your workflow and toggle it to the active state.
Example Use Case
Imagine you run a professional networking community. You could create a workflow triggered when a contact is added to your "Premium Members" group. The workflow could automatically:
- Send a personalized email with exclusive resource links.
- Add a "Premium Member" tag to their contact profile.
- Schedule a welcome call task for an account manager.
This automation ensures every new premium member receives immediate, consistent, and valuable attention without manual effort from your team.
