Automating Post-Purchase Follow-Up with the Order Fulfilled Workflow Trigger

Introduction

The Order Fulfilled workflow trigger allows you to automatically start a sequence of actions the moment a customer's order is shipped. This trigger works for orders fulfilled within your CRM's built-in e-commerce store, as well as for orders synced from external platforms like Shopify. By using this trigger, you can create timely and relevant post-purchase communications, such as sending shipping notifications or updating internal records, ensuring a seamless customer experience.

Key Benefits

Implementing the Order Fulfilled trigger provides several advantages for your business operations.

  • Instant Customer Communication: Send shipment confirmations and tracking information to customers immediately after their order is fulfilled.
  • Automate Internal Tasks: Reduce manual data entry by automatically updating your CRM, inventory systems, or task lists.
  • Advanced Segmentation: Use detailed order data to create highly targeted follow-up campaigns based on factors like products purchased or order value.
  • Unified Automation: Manage fulfillment automations for both your native CRM store and external storefronts from a single, consistent trigger.

Understanding Filter Options

To ensure your workflow runs only under specific conditions, you can apply filters to the trigger. These filters allow you to create precise automation rules.

  • Cart Value: Target orders based on their total value, such as orders over a certain amount.
  • Fulfilled Products: Run the workflow only for orders that contain specific product SKUs.
  • Order Source: Differentiate between orders that originated in your CRM's Store and those that came from an External source.
  • Order Sub-Source: If the order source is External, you can further specify the platform, such as Shopify.
  • Shipping Carrier: Trigger workflows based on the shipping carrier used, like UPS or FedEx.
  • Tracking Number: Set the workflow to run only if a tracking number is present.

How to Set Up the Order Fulfilled Trigger

Follow these steps to configure the trigger within a workflow.

Create or Edit a Workflow

Navigate to the Automation section from the main menu and click on Workflows. Click the '+ Create Workflow' button to start a new automation, or select an existing workflow to edit.

Add the Trigger

Inside the workflow builder, click 'Add Trigger'. In the panel that appears, scroll to the Ecommerce Stores category and select 'Order Fulfilled'.

Name Your Trigger

Give the trigger a descriptive name, such as "High-Value Order Shipped," to make it easily identifiable later.

Configure Filters

Click 'Add filters' to define the conditions for the trigger.

  • To filter by Cart Value, select it from the dropdown, choose an operator (e.g., 'Greater than'), and enter the desired value.
  • To filter by Fulfilled Products, select it and use an operator like 'Contains any' to specify the relevant product SKUs.
  • To filter by Order Source, select it and choose either 'Store' or 'External'. If you select 'External', you can then use the 'Order Sub Source' filter to specify a platform like Shopify.
  • To filter by Shipping Carrier, select it and use an operator like 'Contains Phrase', then type the name of the carrier.
  • To ensure a workflow only runs when a tracking number exists, select the Tracking Number filter and set the operator to 'Is Not Empty'.

After configuring the trigger and its filters, you can proceed to add the actions you want the workflow to perform, such as sending an email or creating a task.

Transition from Legacy Triggers

If you have previously used a Shopify-specific trigger for fulfilled orders, it is recommended to transition to this new, unified Order Fulfilled trigger. The legacy trigger is being deprecated, and using the new trigger ensures your automations will continue to work and have access to the full range of filter options.

Compatibility with Shipping Integrations

This trigger is also activated by fulfillment events received from integrated shipping tools like Shippo or ShipStation. This means you can centralize your post-fulfillment automation in one workflow, regardless of where the shipping label was generated.
