Calendly Integration: Workflow Actions and Triggers

Overview

The Calendly integration allows your CRM to respond automatically to scheduling events and create new meetings directly from workflows. Calendly is a scheduling platform that manages appointments between hosts and invitees, such as discovery calls, demos, or follow-up meetings. This integration brings scheduling activity into your CRM's automation system, enabling real-time responses to booking events and allowing workflows to initiate Calendly actions.

About the Integration

The Calendly integration consists of two main components: triggers that initiate workflows based on scheduling events, and actions that create or manage events from within workflows. Triggers include instant notifications for new bookings, cancellations, no-shows, and form submissions, plus one polling trigger for host-initiated cancellations. Actions cover meeting creation, booking management, contact handling, and user lookup. All Calendly triggers and actions are premium components subject to standard automation credits.

Setting Up the Calendly Integration

Before using Calendly triggers or actions, you must connect your Calendly account through OAuth authentication.

Open Automation → Workflows and select or create a workflow. Add a Calendly trigger or action by searching for Calendly in the Apps tab. Select any Calendly component and click Connect your account. In the authentication modal, provide a friendly name for the connection and the email associated with your Calendly account. Click Continue to complete the OAuth process with Calendly.

Connect Through Settings (Alternative Method)

Navigate to Settings → Integrations, locate Calendly, and click Connect. Complete the same authentication steps as above to establish the connection.

Available Triggers

  • Invitee created: Instant trigger when a new booking is made
  • Invitee canceled: Instant trigger when an invitee cancels a meeting
  • Invitee no show created: Instant trigger when an invitee is marked as a no-show
  • New routing form submission: Instant trigger when a routing form is submitted
  • Event cancelled: Polling trigger (every 5 minutes) for host-initiated cancellations

Available Actions

Event Lifecycle

  • Create one-off meeting: Creates a single-use event type with specified host, duration, availability window, and optional timezone
  • Book meeting for invitee: Books a meeting on behalf of an invitee using their contact details
  • Find event: Looks up a Calendly event by ID or URI
  • Cancel an event: Cancels a scheduled event with optional reason

Invitee Lifecycle

  • Mark invitee as no show: Flags an invitee as a no-show on a scheduled or completed event

Contacts

  • Create contact: Creates a new contact record in Calendly
  • Find contact: Looks up a Calendly contact by email or phone
  • Update contact: Updates an existing Calendly contact

Users

  • Find user: Looks up a Calendly user by email or user URI

Example: Setting Up an Invitee Created Trigger

This example shows how to configure a workflow that triggers when someone books a meeting through your Calendly link.

Step 1: Add the Trigger

Open your workflow and click Add trigger. Switch to the Apps tab, search for Calendly, and select Invitee created from the trigger list.

Step 2: Configure the Trigger

Select the connected Calendly account you want to monitor. Provide a meaningful name for the workflow trigger. In the filters section, choose whether to receive events for your connected user only or for the entire organization.

Step 3: Test the Trigger

Create a test booking in Calendly to verify the trigger works correctly and initiates your workflow as expected.

Testing Triggers and Actions

Test instant triggers by creating actual events in Calendly. Test the polling trigger by waiting for the system to detect changes. Test actions by running them in a workflow and verifying the results in your Calendly account.
