How to Enable and Rebill External AI Models in Workflows

External AI Models is a feature that enhances your CRM's workflow automation by integrating artificial intelligence. This guide explains how to activate the feature for your agency and how to pass the usage costs on to your clients through rebilling.
What are Workflow - External AI Models?
Workflow - External AI Models is a built-in tool that uses AI to help you create and optimize workflows more efficiently. Using this feature incurs charges based on AI model usage. Rebilling allows your agency to pass these charges directly to your clients, and you can optionally add a markup to generate profit.
Enabling External AI Models at the Agency Level
To make the External AI Models feature available to all sub-accounts under your agency, you must first enable it at the agency level.
- Navigate to your Agency settings.
- Go to the Company section and select Workflow - External AI Models.
- Toggle the feature on.
- Check the box to confirm you agree to the terms.
- Click the Enable button.
Note: This feature is available to agencies on any plan. Once enabled at the agency level, both new and existing sub-accounts will receive 100 free executions. If you use the SaaS Configurator, new sub-accounts will be automatically enrolled.
Pricing for External AI Models
Charges for using External AI Models are based directly on the costs from the AI provider. There are no additional fees or commissions. You are billed based on the number of input and output tokens used. Current rates are:
- GPT-4o: Input - $5.00 per million tokens; Output - $20.00 per million tokens.
- GPT-4o-mini: Input - $0.60 per million tokens; Output - $2.40 per million tokens.
If rebilling is enabled for a sub-account, the charge will include any multiplier you set.
Rebilling Costs to Your Clients
Rebilling allows you to charge your sub-accounts (your clients) for their use of the External AI Models. This is available to SaaS agencies.
How to Turn On Rebilling for a Client
- Ensure External AI Models are enabled for your agency.
- If the sub-account is not already in SaaS mode, switch it by going to the Accounts tab in your agency view, finding the sub-account, clicking the three dots icon, and selecting "Switch to SaaS."
- Go back to the Accounts tab, find the sub-account, and click the "View Details" link.
- Scroll to the Workflow - External AI Models Re-Sell Settings section.
- Toggle the rebilling setting on.
- Use the slider to set your desired markup percentage.
- Click Save.
Repeat this process for each sub-account you wish to rebill.
How Rebilling Works
The rebilling process follows a standard model used elsewhere in the CRM:
- Your agency is invoiced by the CRM for the total usage costs.
- Your sub-accounts (clients) are then invoiced by you, with your branding.
- Payments from your clients are deposited into the Stripe account connected to your agency.
