How to Use the Add Owner to Opportunity Workflow Action
Overview
The Add Owner to Opportunity workflow action automatically assigns a designated user as the owner of an opportunity. This helps maintain consistent ownership between a contact and its related opportunities as they move through your sales process.
How the Action Works
When this action runs, it sets the selected user as the new owner for the target opportunity. A key feature is the Only Apply to Unassigned Opportunities option. When enabled, the action will only assign an owner if the opportunity currently has none. When this option is disabled, the action will replace any existing owner with the newly selected user.
Important Prerequisite: This action requires an opportunity to be in the workflow's context. This typically happens when the workflow is triggered by an opportunity event or when a Find Opportunity step is used earlier in the workflow to locate one. If no opportunity is available, this action will be skipped.
Owner Sync Behavior
Your CRM has a setting that determines if contact and opportunity owners are linked. This setting is managed in your general Opportunity Settings.
- If owner sync is enabled, assigning a new opportunity owner with this action will also update the owner of the associated contact.
- If owner sync is disabled, only the opportunity owner will be changed, and the contact owner will remain separate.
Configuring the Action
To add this step to a workflow, locate and select Add Owner to Opportunity from the action library.
You will need to configure the following fields:
- Action Name: Give this step a descriptive name for easy identification within your workflow.
- User: Select the user from your account who should be assigned as the opportunity owner.
- Only Apply to Unassigned Opportunities: Toggle this setting on or off based on whether you want to preserve existing assignments.
Example Use Case
Scenario: Automatically assigning high-value opportunities to a senior sales representative.
- Trigger: A contact submits a form indicating a high-value need.
- Action 1 - Find Opportunity: Add a step to find the contact's opportunity where the value is greater than $5,000.
- Action 2 - Add Owner to Opportunity:
- Set the User to "Senior Sales Rep".
- Disable the Only Apply to Unassigned Opportunities option to ensure the senior rep is assigned, even if another owner exists.
With this setup, any qualifying opportunity will be assigned to the senior representative for immediate follow-up. If owner sync is active, the contact's owner will also be updated.
Frequently Asked Questions
Does this action replace the current opportunity owner?
Yes, but it depends on your configuration. If the Only Apply to Unassigned Opportunities option is disabled, it will overwrite any existing owner with the user you select. If that option is enabled, it will only assign an owner to opportunities that are currently unassigned.
What if I need to assign a specific, different user manually?
For more direct control, use the Update Opportunity workflow action instead. It allows you to specify a user and update other opportunity fields directly.
Will the assigned user automatically see the opportunity?
This depends on your user permission settings. If your account uses "Only Assigned Data" rules, users may only see records, including opportunities, that they are explicitly assigned to own.
