You can use workflows to automatically grant or remove a contact's access to specific community groups based on their actions. This automation helps maintain organized communities by ensuring members only have access to relevant groups without requiring manual administration.
Granting Group Access Automatically
A common use case is to automatically add a contact to a group when they join your community. To set this up:
- Create a new workflow in the Workflow Builder.
- Select "User Joins the Community" as the trigger.
- Add the "Grant Group Access" action to the workflow.
- Configure the action by selecting the specific community group you want the contact to join.
- Save, test, and activate the workflow.
Once active, any contact who becomes a community member will automatically be added to the designated group.
Revoking Group Access Automatically
Similarly, you can automatically remove a contact from a group when they leave the community. The setup process is similar:
- Create a new workflow.
- Select "User Leaves the Community" as the trigger.
- Add the "Revoke Group Access" action.
- Configure the action by selecting the group from which the contact should be removed.
- Save, test, and activate the workflow.
This ensures your group membership lists stay current by removing contacts who are no longer part of the community.
