Streamlined Workflow and Template Management with Snapshots

Overview

Managing templates and workflows across different locations in your CRM has been simplified. When you take a snapshot of workflows and templates from a source location and apply it to a target location, the target location's template list will now only display original templates and workflows. Email action templates, which are used within workflows, are handled automatically in the background and are no longer shown in the main list. This reduces visual clutter and makes it easier to find and manage your core assets.

Benefits

  • Cleaner Interface: The template list in the target location is less crowded, showing only the main templates and workflows.
  • Simplified Navigation: With fewer items displayed, it's faster to locate the specific templates you need to work with.
  • Automatic Syncing: Email action templates are seamlessly imported and linked to their corresponding workflows behind the scenes, ensuring everything works correctly.

What's New

Improved Template List

The list of templates in the target location now exclusively shows original templates and workflows. Email action templates are imported and mapped automatically but remain hidden from view.

Streamlined Snapshot Display

The snapshot modal itself has been updated to reflect this change, displaying only original templates and workflows for selection.

Enhanced Sync Logic

The system's syncing behavior has been improved. The mapping between a workflow and its email action template works reliably when they are pushed to the target location together, or if the template is pushed before the workflow.

How to Use

  1. Take a Snapshot: In your source location, select the workflows and templates you wish to copy.
  2. Apply the Snapshot: Go to your target location and apply the snapshot. You will see only the original templates and workflows in the list.
  3. Automatic Background Processing: The system will import and configure any necessary email action templates without adding them to the main template list.

Important: For email actions to function properly, you must push the workflow and its associated template to the target location at the same time. Alternatively, you can push the template first, followed by the workflow.

Note on Updating

If you need to apply recent changes from an updated snapshot, you should first delete the older versions of the workflows and their linked email actions in the target location. After deletion, you can re-apply the new snapshot.

Limitations

  • Workflow and Template Dependency: If you push a workflow without its linked template, the email actions within that workflow will not be available. Syncing will also fail if the template is pushed after the workflow.
  • Sync Failure: Pushing the template after the workflow will result in a failed mapping and sync. Always push the template first or push both together.
  • Bulk Deletion: There is currently no support for deleting multiple email action templates at once.

Frequently Asked Questions

Q: Are email action templates still imported when I use a snapshot?

A: Yes, they are imported and mapped in the background to ensure the workflows function correctly. They are simply hidden from the main template list to reduce clutter.

Q: What happens if I push a workflow without its template?

A: The email actions within that workflow will not work, and the syncing process for that workflow will fail.

Q: Can I delete email action templates in bulk?

A: No, bulk deletion is not currently supported for email action templates.

Q: How do I apply updates from a new snapshot?

A: To ensure the latest changes are applied correctly, delete the existing workflows and their linked email actions in the target location before applying the updated snapshot.

Q: Are Conditional Sending rules preserved when pushing templates via snapshots?

A: Yes, any Conditional Sending rules configured in your email templates are retained when the templates are pushed to another location.

Q: Does the order of pushing the template and workflow matter?

A: Yes. Syncing will fail if the template is pushed after the workflow. For successful syncing, push the template first or push both the template and workflow together.
