Understanding Workflows vs. Deprecated Campaigns and Triggers

Introduction

The CRM platform has evolved, and the older automation features known as Campaigns and Triggers have been replaced by a more powerful and unified system called Workflows. This article explains the transition and why Workflows are the recommended tool for building automations.

Why Replace Campaigns and Triggers with Workflows?

Workflows offer a significant upgrade in automation capabilities. They combine the functionality of the previous Campaigns and Triggers into a single, more efficient system. Key advantages include the ability to use if/else conditions and filters for creating highly personalized automations, built-in wait times, and advanced functions like mathematical operations. A major benefit is the detailed execution log, which makes troubleshooting and tracking the status of each contact much simpler. Workflows are also easier to test, ensuring your automations work correctly from the start. You can import existing campaigns into a workflow and add triggers to create a fully streamlined process.

Why Are Campaigns and Triggers Not Visible in My Sub-Account?

The availability of the old Campaigns and Triggers features depends on how your sub-account was created. If the sub-account was created from a snapshot of an older account that already had these features enabled, you might see an option to enable "Deprecated Features" in the sub-account's Business Profile settings. However, for sub-accounts created from snapshots of accounts that did not have these features, or for agencies created after November 2021, the option to enable Campaigns and Triggers is not available. This is because the platform is guiding all users toward the more advanced Workflows system.

Feature Comparison

Trigger Support

Workflows support a wide range of triggers, including many that were available in the old Triggers system, plus new ones. Here is a summary of trigger compatibility:

  • Supported in Both: Events like appointment status changes, contact birthdays, tasks, form submissions, and many more.
  • New to Workflows: Triggers such as when a contact is created, a note is changed, or an order is submitted are now available exclusively in Workflows.

Action Support

Workflows provide a comprehensive set of actions that surpass the old systems.

  • Communication: Workflows support sending emails, SMS, making calls, and sending messages through various channels.
  • CRM Management: You can tag contacts, manage opportunities, assign users, update fields, and much more.
  • Advanced Logic: Workflows introduce powerful actions not available in Campaigns or Triggers, including if/else conditions, wait periods, webhooks, and math operations.

Please note that actions related specifically to adding or removing contacts from Campaigns are only available if you are using the deprecated Campaigns feature.
