What Is Find & Replace in Workflow Builder?

Find & Replace is a powerful tool within the CRM’s Workflow Builder that allows you to quickly search for and update specific elements—such as custom values, tags, or text—across a single workflow. Instead of manually checking each action, you can use this feature to locate and modify multiple instances efficiently.

Using Find & Replace offers several advantages:

  • Save time: Quickly locate every occurrence of a value or tag without navigating each node individually.
  • Ensure consistency: Update custom values or tags uniformly across your workflow to maintain logic and messaging alignment.
  • Reduce errors: A centralized results list helps prevent missed updates by jumping directly to each match.
  • Improve visibility: Instantly see where key items (like specific tags or custom values) are used before making changes.
  • Works in both builders: Available in both Standard and Advanced Workflow Builder views.

Search Modes

You can choose from three search modes in the Find panel:

  • Custom values: Searches for uses of custom values (e.g., {{first_name}}) within actions like emails, SMS, or conditions.
  • Tags: Finds references to specific contact tags in actions that add, remove, or conditionally branch based on tags.
  • Text: Searches for text strings in step content, configuration fields, message bodies, and labels. Note that step and trigger names can be found via text search but cannot be replaced.

Searches are case-insensitive and support partial matches.

Using the Find Panel

To use Find & Replace:

  1. Open a workflow from Automation → Workflows.
  2. Click the search icon in the workflow toolbar or use the keyboard shortcut (Alt + F on Windows/Linux, Option + F on macOS).
  3. Select a search mode and enter your term.
  4. Results will display in a list, and the first match will be highlighted on the canvas.
  5. Use the navigation controls (e.g., Next/Previous) to move between matches.

Replacing Matches

When you enable Replace in the Find panel, you can update supported matches:

  • Supported for replacement: Custom values and tags.
  • Not supported: Step names and trigger names (though they can be found via text search).

To replace:

  1. Enter the term you want to find.
  2. For custom values, use the value picker to select a new value. For tags, enter or select a new tag.
  3. Click Replace to update the current match or Replace All to update all supported matches in the workflow.

Scope and Limitations

Find & Replace operates only within the currently open workflow and does not search across multiple workflows or folders. It is available in both Standard and Advanced Builder views. Use Replace All cautiously, as it updates all matching instances in the workflow.
