Using Google Forms with CRM Workflows
What is Google Forms in CRM Workflows?
Google Forms integration with CRM Workflows enables you to automate business processes based on form submissions. This connection allows Google Forms to either trigger workflows when responses are received or supply form data to actions within running automations. By linking form activity to your CRM, you can automatically create contacts, assign tasks, update opportunities, and send personalized follow-up communications.
Key Benefits
Integrating Google Forms with your workflows streamlines how your team handles form submissions:
- Automated Response Processing: Start workflows immediately when new or updated form responses are detected
- Efficient Lead Management: Automatically check if contacts exist, create new ones when needed, and route communications
- Improved Team Coordination: Use form data to create internal tasks and update business processes
- Personalized Automation: Leverage submitted information to send relevant emails and determine next steps
- Flexible Integration: Combine Google Forms data with other workflow actions across your CRM system
Prerequisites
Before using Google Forms in workflows, you must first connect the integration:
- Navigate to Settings in your sub-account
- Select Integrations from the left menu
- Remain on the All Integrations tab
- Locate Google Forms in the available integrations list
- Click Connect and sign in with your Google account
- Review and approve the requested permissions
- Verify the integration status shows as Connected
Once connected, you can access Google Forms triggers and actions in Automation > Workflows.
Google Forms Triggers
Triggers allow workflows to start automatically based on Google Forms activity.
New or Updated Response Trigger
This trigger initiates a workflow when a new form response is submitted or an existing response is modified. The system checks for changes approximately every 5 minutes, so workflows may not start instantly after submission.
This trigger is ideal when you want form submissions to automatically begin business processes. For testing purposes, use actual form submissions or response updates to verify workflow behavior.
Google Forms Actions
Actions enable you to retrieve Google Forms data during workflow execution for use in subsequent steps.
Available Actions
- Find Form: Search for and return information about a specific Google Form
- Find Response by ID: Retrieve a specific response using its unique identifier
- Find Responses by Form Name: Search for responses associated with a particular form
Common Use Cases
These actions are typically used to:
- Retrieve form data for decision-making within workflows
- Support internal processing after a trigger has started the automation
- Create workflow branches based on whether specific data is found
- Pass retrieved values to subsequent actions like email, contact management, or opportunity updates
