Using Klaviyo Triggers and Actions in Workflows
Overview
The Klaviyo integration allows your CRM workflows to interact directly with Klaviyo, a marketing automation platform. This connection enables workflows to trigger based on Klaviyo events and perform actions within Klaviyo, creating seamless automation between your CRM and email/SMS marketing efforts.
About the Integration
The Klaviyo integration consists of two main components: triggers that monitor Klaviyo for specific events, and actions that perform operations within Klaviyo. Triggers check for new activity every 5 minutes, while actions execute immediately when triggered by workflow conditions.
Key Benefits
Using Klaviyo in workflows provides several advantages:
- Near real-time synchronization without complex webhook setup
- Complete profile management capabilities including creation, updating, and subscription handling
- Consent-aware subscription management that respects email and SMS preferences separately
- Ability to look up and manage lists, segments, and campaigns dynamically
- Workflow-triggered campaign sending from draft campaigns
How to Set Up Klaviyo Connection
Connect via Workflow Builder (Recommended)
Open your Automation → Workflows section and select or create a workflow. Add a Klaviyo trigger or action from the Apps tab. Click "Connect your account" on the action card, complete the OAuth authorization process with Klaviyo, and return to your workflow builder where the connection status will update.
Connect via Settings (Alternative Method)
Navigate to Settings → Integrations, locate Klaviyo, and click "Connect." Complete the OAuth authorization process on Klaviyo's platform and return to your CRM.
Available Triggers
Klaviyo triggers check for activity every 5 minutes:
- New event: Triggers when any tracked metric event occurs against a profile
- New profile: Triggers when a new profile is created in Klaviyo
- Profile added to list: Triggers when a profile joins a specific list
- Profile added to segment: Triggers when a profile matches segment conditions for the first time
Available Actions
Profile Management
- Create profile: Creates a new Klaviyo profile from workflow data
- Update profile: Modifies an existing profile by ID or email
- Find profile: Looks up a profile by email or phone number
- Subscribe profile: Subscribes a profile to email and/or SMS with proper consent handling
- Unsubscribe profile: Removes a profile from email and/or SMS subscriptions
List Management
- Create list: Creates a new Klaviyo list
- Find list: Looks up a list by name
- Add profile to list: Adds a profile to a list without changing consent status
- Remove profile from list: Removes a profile from a list
Example: Setting Up a Trigger
Step 1: Add the Trigger
Create a new workflow and add a Klaviyo trigger, such as "Profile added to list."
Step 2: Configure the Trigger
Select the specific Klaviyo list you want to monitor for new additions.
Step 3: Test the Trigger
Add a test profile to the selected list in Klaviyo and verify the trigger activates in your workflow.
Example: Setting Up an Action
Step 1: Prepare Campaign in Klaviyo
Create and save a draft campaign in your Klaviyo account.
Step 2: Add the Action
Add the "Send campaign" action to your workflow.
Step 3: Configure the Action
Select the draft campaign you want to send and configure any additional parameters.
Step 4: Test the Action
Run a test execution to verify the campaign sends correctly.
Testing Your Integration
Always test both triggers and actions separately before relying on them in production workflows. For triggers, create test events in Klaviyo and verify they activate your workflow. For actions, use test mode or create sandbox scenarios to ensure they perform as expected.
Common Use Cases
- Synchronize new Klaviyo signups directly into your CRM as contacts
- Trigger internal alerts when high-value segments are matched
- Handle form opt-ins with proper consent management for email and SMS subscriptions
- Send targeted campaigns based on CRM workflow milestones or conditions
