Using the Add Task Workflow Action
Overview
The Add Task action enables you to automatically generate a new task within your CRM and assign it to a designated user with a specific due date. This is an effective way to manage responsibilities and ensure important follow-up items are handled promptly.
Action Configuration
To set up the Add Task action, you will need to provide the following information.
Action Name
Give the action a descriptive name that will help you identify it within your workflow, such as "Add Task - Client Onboarding Call."
Title
Enter a clear and concise title for the task. This is a required field and is the primary identifier for the task.
Description
Provide a detailed description for the task. You can use rich text formatting in this field, and the formatting will be preserved when the task is created and viewed.
Assign To
Select the user from your CRM who will be responsible for completing this task. This is a required field.
Due In
Specify when the task is due. Enter a number and then select the corresponding time unit: days, weeks, months, or years. You can also set this to "Now" for an immediate task.
Due Time (Optional)
If needed, you can select a specific time of day for the task's deadline.
Skip Weekends (Optional)
Enable this option if you want the calculated due date to automatically skip over weekends.
Due Date Preview
This area displays a live preview of the exact date and time the task will be due, based on your settings. Always review this to confirm it is correct.
Example Scenario
Imagine a new contact fills out a form on your website. You can create a workflow that triggers an Add Task action to ensure a team member follows up. The configuration might look like this:
- Action Name: New Lead Follow-up Task
- Title: Welcome Call for New Contact
- Description: Call the new contact to welcome them and answer any initial questions.
- Assign To: Sarah Chen
- Due In: 1 Day
- Due Time: 2:00 PM
- Skip Weekends: Enabled
With this setup, Sarah Chen will receive the task with a due date that falls on the next business day at 2:00 PM.
