Using the Internal Notification Workflow Action

What is an Internal Notification?

The Internal Notification action in your CRM workflows allows you to automatically send alerts to members of your team when a specific event occurs. This action can be configured to send messages via email, as an in-app notification, or via SMS/WhatsApp, ensuring the right people are instantly informed about important updates like new leads, form submissions, or task completions.

How to Set Up an Internal Notification

1. Add the Action to a Workflow

In the workflow builder, click the plus (+) icon to add a new step. From the list of available actions, select Send Internal Notification.

2. Configure the Action

Start by giving the action a descriptive name for easy identification within your workflow.

3. Select Notification Type

Choose your desired delivery method from the Type of Notification dropdown menu. Your options are Email, Notification (in-app alert), SMS, or WhatsApp.

Configuring an Email Notification

If you select Email as the type, you will configure the following fields:

  • From Name: The display name that will appear as the sender in the recipient's inbox. You can use static text or insert dynamic values.
  • From Email: The email address the notification is sent from. If left blank, system defaults will be used.
  • To User Type: Define who should receive the email, such as specific users, roles, or teams.
  • CC/BCC: Add additional email recipients. Each address entered here will receive a separate copy of the email.
  • Subject: Enter the subject line for the email notification.
  • Email Content:
    • You can select a pre-built email template from a dropdown menu.
    • Compose your message in the provided editor, using formatting tools and inserting dynamic values as needed.
    • An AI-powered writing assistant is available to help generate message content.
    • Use the Add Attachment button to include files with the email.

Configuring an In-App Notification

If you select Notification as the type, the alert will appear within your CRM under the bell icon for the specified users.

  • Title: Enter a brief, clear title for the alert.
  • Message: Write the main body of the notification. Keep it concise and use available tools to format the text or add dynamic values.

Technical Notes

This action is versatile and can be used in workflows triggered by events that do not involve a specific contact record. When configuring the To User Type and message content in such contactless scenarios, ensure you are using data and fields that are available from the workflow's trigger source.
