The Update Opportunity action is a powerful automation tool within your CRM's workflow builder. It allows you to automatically modify the details of an existing opportunity record based on predefined logic or specific contact activities. You can use this action to change the opportunity's name, its monetary value, the pipeline it belongs to, or the stage it is currently in.

How to Configure the Update Opportunity Action

Access the Workflow Builder

To begin, navigate to the Automation section from the main menu on the left side of your screen, then select the Workflows tab. This area displays your list of existing workflows.

Create or Select a Workflow

You can either create a new workflow by clicking the + Create Workflow button or select an existing workflow that you wish to enhance with this action.

Set a Workflow Trigger

Click Add New Trigger to define the event that will start the workflow. For example, selecting the "Opportunity Status Changed" trigger ensures the workflow activates with a specific opportunity already in context, which is ideal for the Update Opportunity action. If you use a different trigger, such as a form submission, you may need to add a Find Opportunity action first to locate the correct record to update.

Add the Action

Click the + icon below your trigger and locate the Update Opportunity action from the list of available actions, typically found within an Opportunity category.

Name the Action Step

Provide a descriptive name for this step in the Action Name field. This label is for your internal reference within the workflow builder and helps with organization.

Configure Stage Movement

By default, opportunities can only move forward to a later stage or stay in the same stage. If you need the ability to move an opportunity to an earlier stage in the pipeline, toggle the option labeled Allow Opportunity to Move to Any Previous Stage to the ON position.

Understanding Duplicate Settings

You will see a toggle related to duplicating opportunities. It is important to note that the Update Opportunity action only modifies existing records and will never create a duplicate, regardless of this setting. The toggle link directs you to a separate configuration area in your Business Profile settings for managing rules about having multiple opportunities per contact.

Select Fields to Update

Click the Add field button to specify which opportunity properties you want to change. You can update fields such as the pipeline, stage, name, and value. Merge fields can be used here to insert dynamic data.

Choose a Pipeline

Use the pipeline filter to select which sales pipeline the opportunity should be assigned to. This is useful for moving a deal into a different process, like a dedicated renewal pipeline.

Select a Pipeline Stage

Choose the specific stage within the selected pipeline where you want the opportunity to be placed. This determines the deal's new position in your sales process.
