Using the Updated Email Action in Workflows

Overview

The Email Action within Workflows has been updated with a new, modern interface. This redesign brings a consistent and streamlined experience for composing, customizing, and analyzing your emails, whether you're creating them for a workflow, a bulk send, or a marketing campaign.

Unified Creation Experience

You now have a single, intuitive builder for creating emails across the CRM. When you add or edit an Email Action in a workflow, you can start your email in one of three ways:

  • Quick Compose: A simple editor for drafting a basic message quickly.
  • Smart Builder: A full-featured editor offering Design, Code, or Plain Text modes for complete creative control.
  • Select Template: Choose from your previously saved email templates or browse the Template Library.

Advanced Settings

Each Email Action now includes an expandable section for advanced settings, allowing you to fine-tune your campaign directly from the workflow builder.

  • Link Tracking: Enable this to collect data on clicks and click-through rates for every link in your email.
  • UTM Parameters: Automatically append campaign tracking tags to your email links for detailed analytics in external tools.
  • Add Tags: Configure the system to automatically apply specific tags to contacts when they open your email or click a link within it.

Template Syncing

When you choose to build your email from a template, you will see a Sync Edits with Template checkbox. Enabling this option keeps your workflow email linked to its source template. Any future changes made to the original template will automatically sync to this email in your workflow. You can disable this option at any time to make the email an independent copy.

How to Set Up a Workflow Email

Follow these steps to use the updated Email Action:

  1. Navigate to Marketing and then Email Builder.
  2. Click on Campaigns and select Workflow Campaigns.
  3. Add a new Email Action or edit an existing one within your workflow.
  4. Choose your preferred starting method: Quick Compose, Smart Builder, or Select Template.
  5. Expand the Advanced Settings section to configure link tracking, UTM parameters, or automatic tagging rules.
  6. Click Save to finalize your email setup within the workflow.

What does the "Sync Edits" checkbox do?

When enabled, this feature maintains a live connection between your workflow email and the template it was created from. Any updates saved to the original template will automatically be reflected in your workflow email. Disable it to break this link and edit the email independently.

Enable the Link Tracking option within the Advanced Settings of the Email Action. Once enabled, you will be able to see click counts and click-through rates for each link in your email reports.

What is the purpose of UTM Parameters?
