Using the Voicemail Action in Workflows
Overview
The Voicemail action is a workflow tool that lets you deliver a pre-recorded audio message directly to a contact's phone. This is an efficient way to automate personalized follow-ups, send reminders, or convey important information without requiring a live phone conversation.
Configuring the Voicemail Action
To set up this action in a workflow, locate and add the Voicemail action to your workflow sequence.
Required Settings
You will need to configure the following details:
- Action Name: This field is pre-filled with the name "Voicemail" to identify the step.
- Drop Your File: Click the upload area to select a pre-recorded audio file from your computer. The file must be in a format compatible with standard voicemail systems. After uploading, you can play the audio to verify it's correct.
Once these fields are set, save your workflow to apply the changes.
Common Use Cases
The Voicemail action works well when triggered by specific contact events. Here are a few practical examples:
- After a Missed Appointment: If a contact's appointment status changes to "No-Show," trigger a voicemail with a message encouraging them to reschedule.
- For Follow-Up Reminders: Send a voicemail if a contact hasn't responded to an email or text message after a certain period, ensuring your message gets noticed.
Example Workflow Scenario
Trigger: Appointment Status Changes to "No-Show".
Action: Voicemail.
File: A pre-recorded file named "follow_up_reschedule.mp3".
In this setup, when a contact misses an appointment, the workflow automatically sends your pre-recorded voicemail, prompting them to book a new time. This helps maintain engagement through an automated, personal touch.
