Workflow Trigger: Note Changed
Overview
The Note Changed workflow trigger activates whenever an existing note is modified on a contact's profile. This allows you to automate follow-up actions based on updates to contact notes, such as notifying team members, updating tasks, or logging changes for record-keeping.
How to Configure
To set up a Note Changed trigger, navigate to the workflow editor and select "Note Changed" as your trigger type. You'll need to configure the following settings:
Workflow Trigger Name
Give your trigger a descriptive name that identifies its purpose within your workflow system. This field is required.
Trigger Filters
You can refine when the trigger activates by applying optional filters:
- Has Tag: The workflow will only trigger if the contact has a specific tag assigned
- Doesn't Have Tag: The workflow will only trigger if the contact does not have a specified tag
Example Use Case
Consider a scenario where you want to ensure prompt follow-up when notes are updated for important clients:
Trigger Configuration:
- Workflow Trigger Name: Note Changed - Important Client
- Filter: Has Tag - "VIP Client"
Potential Workflow Actions:
- Send an internal notification to the account manager to review the updated note
- Create a follow-up task for the team member responsible for the client
- Log the note change in a dedicated activity history for audit purposes
This setup ensures your team stays informed about important updates to client information and can respond appropriately to changes in contact notes.
